LaBarge Weinstein LLP, A Business Law Firm with offices in Ottawa, Toronto, and Vancouver, is looking for a Legal Administrative Assistant with 3-7 years’ experience to work in-person in its Ottawa office on a permanent full-time basis.

The Legal Administrative Assistant is responsible for assisting lawyers with a variety of administrative and client service tasks. Candidates should have experience providing administrative services to more than one person in a multi-office environment.

Tasks include assisting lawyers in managing unbilled time and disbursements, receivables and trust balances for clients, creating invoices, communication with clients including collection of accounts receivables, preparation and edits of legal documents, entering time dockets, preparation of banking forms for requesting checks or other electronic payment methods and other miscellaneous administrative tasks as requested by lawyers and/or the Director, Finance and Administration. This position will also be assigned general office duties such as filling in at reception and assisting with various office administrative tasks.

This position would be ideal for someone who enjoys working in a rewarding, fast paced environment where there is an opportunity to work as part of a team of administrative staff to develop and improve day to day processes. The candidate must be proactive, team oriented, able to work for multiple lawyers and demonstrate good time management skills. The candidate must also be very comfortable using computer-based applications as well as learning new applications.

A Legal Administrative Assistant Diploma or a university degree in business administration or commerce, along with 3-7 years working experience in a law firm environment is desirable. Experience using PC Law (or other legal accounting software) and iManage (or other document management system) is desirable.
