Your New Role...
Under the direction of the VP and General Manager of the Tour, provide secretarial support, as well as perform general affairs and back-of-house administration duties to maintain comfortable and productive working environment for the company. This position requires an individual who is confident at communicating effectively at senior management level, is pro-active, efficient, organized and able to work using initiative. The candidate will need to be flexible, and able to multi-task effectively, with some degree of independence. The candidate will be exposed to confidential information and therefore needs to be discreet and trustworthy.
Your Role Accountabilities...
Executive Assistant role
- Responding to emails / calls based on basic information from the GM. Ability to structure suitable responses without being dictated to.
- Typing of letters, memos, reports and general correspondence. This would occasionally involve some figure work/analysis and typing of tables, etc for which advanced excel skills are essential
- Extensive diary management organizing and prioritizing daily workload, making appointments and scheduling.
- Co-ordination and management of internal and external meetings; conferences and client dinners, liaising at various levels across the business/industry.
- Coordination of extensive travel arrangements for the GM on a global basis including flights, hotels, car rentals, restaurants, and full detailed itinerary of all trips.
- Coordinating other Managers and Directors travel schedules and itineraries for business trips and meetings.
Office Administration – Work closely with Manager, General Affairs, and Coordinators to support the company’s back-of-house operation including but not limited to the following;
- Handling of calls to the company’s main number and coordinate actions as necessary
- Maintaining the reception area clean and tidy
- Purchasing and replenishing office sundries and consumables for back-of-house communal areas (kitchen, breakroom, etc.)
- Raising POs and process invoices for communal expenses
- Managing P-card usage and payments
Qualifications & Experiences...
• Proven experience as a Personal Assistant to a Senior Executive within a bilingual (English and Japanese) international environment.
• The ability to communicate effectively and tactfully with persons on all levels, in person and on the telephone, in both English and Japanese.
• Excellent communication skills, both written and verbal, in both English and Japanese.
• Knowledge of file set-up, maintenance and filing procedures.
• The ability to pay close attention to detail and understand written and oral instructions.
• Proficiency in MS Office suite especially Excel and PowerPoint.
EDUCATION/QUALIFICATIONS
• Educated to a tertiary level (minimum 2-year junior college degree)
