Position Purpose:

Reporting to the Manager, Supply Chain, the incumbent is responsible for ensuring operational effectiveness of the logistics activities of the business unit. This includes coordinating the efforts to manage University inventory and assets to ensure efficient tracking and secured storage. Is leading customer service liaising with internal and external clients, ensuring seamless processing of outgoing shipments and incoming items, in collaboration with suppliers, third parties' vendors and couriers. This role also works in close collaboration with Facilities and Supply Chain sectors on assets management projects and, space management, storage and transportation matters.

In this role, your responsibilities will include:

  • Inventory and asset Management: Ensure effective controls of different types of assets, such as hardware, software, research equipment and furniture, to allow MRO (maintenance, repair and operations) management and optimal equipment life cycle in compliance with IT, Research, Facilities and Health & Safety requirements. Administer inventory, ensuring proper stock level maintenance and replenishment strategies in collaboration with the Purchasing and Supply Chain sectors.

  • Receiving & Logistics Operations: Oversee all operations related to the coordination of the courier, receiving and shipping operations in compliance with the University policies and Environmental Health and Safety Legislations mitigating potential risks and ensuring operational performance and on-time service.

  • Shipping: In collaboration with the purchasing specialists, manage, custom clearance processes and approvals in a timely manner for all imported shipments of the business unit, taking into consideration the nature of the product (ex; research products and live specimens or IT equipment).

  • Risk Management and Quality Control: Manage all logistics procedures with respect to Risk Management regulations, such as Transportation of Dangerous Goods (TDG), Workplace Hazardous Material Information Systems (WHMIS)and Compressed Gas. Lead the investigation of damaged equipment received by warehouse and delivery site with resolution.

  • Supervision: Hire and supervise work performance by the employees reporting to the incumbent to determine priorities and provide guidance in the attainments of service, operations, and individual objectives. Train staff to develop knowledge and maintain business continuity.

  • Advisory Services: Is a resource person for all current or new faculty members and management for all receiving, shipping and logistics activities. Ensure efficient and constant communications to maintain customer service excellence and ensure the compliance of the supply chain operations and activities. Is a key member to participate in university projects related to the purchasing and logistics on behalf of the unit.

What you will bring:

  • Knowledge of administration and management acquired through postsecondary studies in a related discipline or an equivalent combination of education and work experience.

  • Five (5) years of experience in supply chain management role, including at least three (3) years managing inventory.

  • Three (3) years of experience of supervision and in customer service.

  • Experience and abilities in interpreting, explaining and applying policies and procedures;

  • Experience in a facilities or scientific environment, handling chemicals, construction or research equipment is an asset based on the hiring sector;

  • Knowledge of Federal and Provincial Environmental Health and Safety Legislations;

  • Experience using ERP solutions and software;

  • Capacity to lift a minimum of 50 pounds;

  • Good interpersonal, communication and conflict resolution skills;

  • Organizational skills and ability to meet firm deadlines;

  • Bilingualism in French and English (spoken and written)
