Facilities services are characterized by a dynamic and creative growing team where the winds of change are blowing, offering people like you opportunities to use your leadership and innovation skills to contribute to the achievement of their inspiring mission: to deliver best in class research infrastructure, reshape campus life and student experience, and provide a sustainable environment for students, researchers, teachers and community.

uOttawa’s facilities encompass three main sites that are comprised of over 600,000 square meters of building space (over 6.4 million square feet), 42.5 hectares of grounds, 125 buildings and 4,500 beds in 11 residences. There are over 150 employees in Facilities, including Project Managers, Energy and Commissioning Specialists, Mechanical and Electrical Engineers, Architects, and space Planners. The facilities capital and operating expenditures are in the range of $100M for the University’s $2.0 billion assets under management. The 20-year Capital spending plan envisions $4.0 billion of new investment highlighted by uOttawa launch of project Top Shelf, a $300 million capital investment to build a new facility for the Faculty of Health Sciences at uOttawa’s River Campus, as well as a tower at the Roger Guidon campus to house uOttawa’s new Advanced Medical Research Center (AMRC).

Position purpose:
Reporting to the associate director, the logistics and postal services supervisor oversees and optimizes the Facilities service’s logistical activities, to ensure easy, reliable access to parts required for maintenance activities across the campus.

Working with the supply chain sector, helps develop and optimize general policies, procedures and technology as well as those affecting the Facilities service. Handles all activities related to mail services (receiving and dispatching mail and parcels) for the entire University community. Develops and provides direction on new and existing warehousing, mailroom, loading dock and inventory-related operations to Facilities (stock, hazardous, asset), including parts stored in more than a hundred mechanical and electrical rooms across the campus.

In this role, you will:

  • Develop and implement standard operating procedures on inventory (stock, asset) and warehousing activities related to Facilities, while ensuring compliance with University policies and technology, and federal and provincial legislation (for example, regarding environmental and health and safety).
  • Recommend stock and inventory site organization and management for Facilities, using inventory control systems and classification methodologies for optimal management and performance and easy access to required parts by maintenance teams.
  • Plan and supervise all mail and courier services for the entire University community. Develop standard operating procedures, analyze user needs and develop and optimize mail routes between the main campus and off-campus facilities such as hospitals and research institutes.
  • Prepare the annual budget for the business section and monitor it throughout the year to ensure that expenses and recoveries are in line with established forecasts.
  • Help develop and optimize University-wide standardized policies, procedures and technology while considering specific needs of the Facilities service.
  • Lead Facilities in analyzing and adopting cycle counts, inventory monitoring and vendor KPIs, to enable proper inventory management. Propose changes and improvements based on findings.
  • Approve and co-ordinate imports and exports on behalf of Facilities and smaller business units, in collaboration with customs brokers.
  • Act as a subject matter expert for Facilities for all receiving, shipping, logistics and postal services activities. Ensure business continuity and ongoing communication and maintain good relations with all clients, to achieve customer service excellence and ensure compliance with supply chain operations, activities, policies and regulations. Ensure that Facilities’ specific needs are considered in maintaining and improving the ERP inventory module used by the university.

What you will bring:

  • Diploma or certification in supply chain management or logistics, or an equivalent combination of education and work experience
  • Five years’ experience in the supply chain or warehousing industry, including three in team supervision and budget management
  • Three years’ experience managing inventory and warehousing operations, or the equivalent

  • Demonstrated experience in creating and implementing policies and procedures
  • Demonstrated experience in interpreting, explaining and applying policies and procedures
  • Knowledge of federal and provincial environmental health and safety legislations
  • Experience using ERP solutions and software
  • Strong leadership skills
  • Strong organizational and planning skills, with ability to meet firm deadlines
  • Strong communication, interpersonal and conflict resolution skills
