The Executive Administrative Assistant provides administrative support specifically an executive. They will require in-depth knowledge of company operations, policies, and procedures. The responsibilities will include collection and preparation of information for use in discussions/meetings of executive staff and outside individuals. In addition, the assistant will prepare presentation materials for board of director or investor meetings. The assistant makes high level contacts of a sensitive nature inside and outside the company.
This high-level position requires a strategic thinker with impeccable discretion, superior organizational skills, and the ability to anticipate needs before they arise. The ideal candidate will be a consummate professional, adept at managing complex situations and interfacing with all levels within the organization.
Key Responsibilities:
Serve as the primary point of contact for internal and external communications on behalf of the executive
Manage a complex and dynamic calendar, including prioritizing critical meetings and engagements
Coordinate domestic and international travel, ensuring flawless execution
Prepare and edit correspondence, presentations, and reports
Organize meetings, employee celebrations, and strategic planning sessions
Manage confidential and sensitive information with the utmost discretion
Oversee special projects and initiatives as needed
Act as a liaison between the executive and other C-suite members, and key stakeholders
Coordinate office area and maintain a professional working environment
Plan and executive events and meetings for leadership team
Anticipate the executive's needs and proactively resolve potential issues

Minimum Requirements:
- High School diploma/GED

5 years of experience supporting executives in a fast-paced corporate environment
-
5 years of experience coordinating international & domestic travel for leaders
Preferred qualifications:
- Bachelors degree preferred
- Experience working in multi-national organization
- Expert proficiency in Microsoft Office Suite, with advanced skills in Outlook, PowerPoint and Excel
- Strong project management skills
- Exceptional written and verbal communication skills
- Superior problem-solving abilities and strategic thinking skills
- Ability to maintain the highest level of confidentiality and professionalism
- Demonstrated ability to work effectively under pressure and meet tight deadlines
- Strong leadership skills with the ability to influence and collaborate at all levels
- Flexibility to work extended hours as needed
