Job Description:
Title: Premises Officer
Location: NYC & occasional work in Stamford, CT
In Office 4-5 days a week
Responsibilities will include:
Access Cards and visitors
Activating access cards for new employees and replacing existing cards as needed
Contacting building security to deactivate access cards for departed employees
Adding visitors to system
Floor plans
Updating the floor plan and making changes accordingly
Maintenance
Responsible for the daily upkeep of the floor
Communicating with building management / engineers / cleaning staff as needed
Constant monitoring of facilities, which includes the firm’s primary data centers, to ensure safety, security, and equipment is well maintained such as HVAC, Generators, and UPS systems
Coordinate all maintenance services and repairs
Staying afterhours to overwatch all maintenance as needed
Initiating quote requests for electrical, plumbing, carpentry, and furniture, purchasing of capitalized and expensed facilities equipment.
Basic handyman duties
Replace light bulbs when needed
Workstation Equipment / Receptionist Responsibility
Answering the front desk phone
Checking in guests with building security before arrival & greeting guests
Making sure reception area & conference rooms are presentable
Reserving Conference rooms for meetings
Printing out WIFI password every month and placing a copy in every conference room
Restocking and maintaining pantry room daily
Assist in setups of Monitors, wires, docking stations , bracket system , for the workstation environment.
Assist in IDF and MDF room trouble shoot any issue that come up for those rooms
Mailroom / Copy center
Ensuring all printers are stocked and working properly
Sorting and distributing all incoming mail
Outgoing mail to our company Branches, Via USPS.
Ordering supplies to maintain business operations (Kas Ray, Coffee Distribution Center, Lexmark, UPS.
Scanning Documents
Creating and placing nameplates
Changing printer toners as needed
The Premises Officer provides quality and efficient administrative support on various assignments. Position may support a small group/team (1-15) and/or an AVP or VP role. Work will involve administrative activities that range in complexity.
Depth & Scope:
Provides a high level of administrative support ensuring quality service and professionalism at every customer interaction
Manages efficiently in a multi-tasked environment and ensure deadlines are met
Applies appropriate due diligence ensuring accuracy in preparing and promptly completing all required supporting documentation (i.e. reports, presentations, invoices, correspondence/communications, tables, charts, files, etc.)
Schedule, and organize meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required
Maintains proficiency with software applications/programs and/or department specific systems as required (i.e. MS Office, Word, PowerPoint, Excel, Lotus Notes, etc.)
Performs routine administrative tasks, including phone coverage, calendar and appointment maintenance
Prepares and distributes routine correspondence and reports following established procedures
Provides a high level of administrative support ensuring quality service and professionalism at every Customer interaction
Communicates and responds to routine inquiries from Customers, other companies, and other in-house departments
Elevates non-routine issues to supervisor
Follows-up on complaints to ensure their resolution
Schedules and organizes meetings
Answers telephone, screens calls, takes messages and receives visitors
Establishes and maintains confidential files and records
Provides administrative project support, using various software packages to produce high quality reports, presentations, and/or other documents
Education & Experience:
High school diploma or GED
1-2 years related experience required
Ability to provide consistent support prioritizing tasks based on departmental priorities
Basic administrative skills, including basic software applications
Basic English grammar and proofreading skills
Ability to work independently and as part of a team, providing high quality Customer service
Strong written and verbal communication skills
Ability to operate standard and specialized office equipment
