This Executive Assistant/Secretary Mid Level (Pleno) will be responsible for performing low to medium complexity and varied support activities for the CEO and CFO of Siemens Mobility, under occasional supervision, involving answering and filtering telephone calls, organizing schedules, typing services, drafting correspondence, preparing reports, and organizing travel arrangements.
What will your responsibilities be?
• Assist the CEO and CFO in various matters, seeking solutions as much as possible, drafting and typing texts, reports, letters, etc., in Portuguese or another foreign language, as well as managing the schedule of appointments.
• Act as a facilitator in communication between the CEO / CFO and their collaborators on all matters.
• Perform typing tasks on computers, such as: commercial and technical texts, reports, minutes, internal and external letters, tables, as well as creating forms, graphs, and spreadsheets, in order to meet the needs of the area.
• Control and maintain the area's supply of general materials: office supplies, catalogs, business cards, and equipment such as photocopiers and fax machines.
• Ensure the maintenance of the area's correspondence, distributing it to collaborators and filing it when necessary.
• Establish contact with clients, suppliers, and national and international institutions and, when necessary, accompany visitors and clients, providing meeting rooms, reserving restaurants, and providing general support.
• Provide support to the CEO and CFO by requesting travel, booking hotels, providing documentation, renting vehicles, requesting advances, and settling accounts, aiming for convenience and meeting agreed deadlines.
• Coordinate general services in the area, such as: messenger activities, executive driver, banking services, maintenance, purchasing, security, layout organization, among others.
• Issue payment orders for various invoices in the area of operation.
• Prepare transparencies for the area manager when necessary, for presentation at meetings or lectures.
What requirements are we looking for?
• Bachelor's degree in Administration, Executive Secretarial Studies, or related fields.
• Fluent English for communication. Advanced Spanish will be a plus.
• Advanced knowledge of Word, Excel, PowerPoint, SAP, and Concur.
• Valid driver's license (category B) and driving experience.
Work location and hiring model:
• CLT (Brazilian labor law), hybrid model (home office on some days of the week!)
• Anhanguera – São Paulo
