What you'll be doing:
- Manage complex calendars, prioritize meetings, and coordinate internal and external sessions across stakeholders and time zones. Prepare briefings to ensure leadership is well-prepared.
- Organize national and international travel, manage logistics, agendas, documentation, monitor costs, and process expense reports in compliance with company policies (SAP).
- Plan and coordinate leadership meetings, team events, strategy workshops, and customer engagements, ensuring smooth execution from preparation to follow-up.
- Create high-quality management presentations, consolidate data, structure content clearly, and prepare reports, dashboards, and summaries for internal and external stakeholders.
- Track and control strategic initiatives and key programs, monitor milestones and KPIs, and ensure structured follow-up and alignment across stakeholders.
- Conduct research and market analysis to support sales and strategic decisions, prepare background materials and competitive insights, and contribute to business case preparation and opportunity tracking.
- Use AI and digital tools to enhance productivity, research quality, and presentations, supporting digitalization and continuous process improvement.
What you'll bring:
- Proven experience (3–5+ years) as an Executive Assistant or similar business support role, ideally within an international or corporate environment.
- Strong business acumen with understanding of strategic and financial topics.
- Excellent organizational and prioritization skills, able to manage multiple tasks simultaneously.
- Strong communication skills and confidence interacting with stakeholders at all management levels.
- Advanced Microsoft Office skills (PowerPoint, Excel, Word).
- Experience with SAP (travel expenses, controlling, or administrative processes).
- Experience in travel management and cost control.
- Ability to conduct structured desk research and synthesize findings into actionable insights.
- Strong professionalism and discretion, with a customer-focused mindset.
- Fluent in Spanish and English (written and spoken).
