Role Overview:

The execution contract and claim manager (ECM) is responsible for providing project support in the form of competent specialist consultancy activities for contract and claim management. The ECM must ensure the implementation of back-to-back conditions of the customer contract to the subcontracts. Furthermore, the ECM supports the Project Manager & Commercial Project Manager for the implementation of a change management (incl. claim) process in the project. The ECM reports to the CPM.

Your Tasks and responsibilities

Before issuing the contract(s):

Support in the elaboration of the Statement of Work (technical scope) for all contracts and change orders

Contract analysis, coordinating the comments on the individual parts of an enquiry and participation in commenting on the terms and conditions

Support during negotiations up to the final draft contract and signature

Opportunity and risk management within the project team with respect to Terms & Conditions. If necessary, provision of support for the LoA process, filling the applicable tool/questionary as support.

Organization of contract management seminars for the project team, to increase awareness of contractual issues and claim management

Development of the Plan or Procedure for addressing nonconformities: corrective and/or preventive actions (Claim Strategy) based on the company procedure(s).

Development of the plan and/or procedure for risk management based on the company procedure(s).

Preparation of the Plan and/or procedure for managing change orders

After issuing the contract(s):

Contract analysis, coordinating the comments on the individual parts of an enquiry and participation in commenting on the terms and conditions

Support in the elaboration of Statement of Work (technical scope) for Variations/Change Orders

Opportunity and risk management within the project team with respect to Terms & Conditions

Coordinate with the PM, CPM and Scheduler to monitor and properly document milestone completion

Monitoring, managing and reporting opportunities and risks, claim potentials and procedures to be applied

Participation in the definition and implementation of the claim strategy in coordination with the PM & CPM, and implementation of a contract workshop for the relevant customer contract before starting project execution.

Identification, monitoring, managing, reporting and support in the recording and evaluation of changes and potentially claim-relevant events Monitoring opportunities and risks, claim potentials and procedures to be applied

Coordinating evidence and documenting both internal and external claims and changes in the project, registering them into the Claim & Change Log

Coordinate with PM, CPM and Document Controller to implement a proper Communication Plan with a distribution matrix that ensures proper flow of communications

Preparing formal communications (Notices, Variations, etc.) for client and contractors, in coordination with the PM and other functions as necessary

Ensure proper record for in/out formal correspondence in the Communication Log in coordination with the Document Controller

Support during the preparation, enforcement and defense of claims and collaboration in the settlement of disputes

Organization of contract management seminars for the project team, to increase awareness of contractual issues and claim management

Collaborating in the final project report and summarizing any lessons learned, including feedback to the organization.

With the help of the Engineering Leader, generate technical documents of scope definitions for the client, to support meetings to clarify concepts and/or points of view discussed in the meetings

Your qualifications:

  • Bachelor's degree in Engineering (electro mechanical, mechatronics, industrial, or a closely related field.)
  • English language: Minimum B2, with experience in contractual and legal terms, and technical specifications, speaking proficiency shall be sufficient for negotiations.

Professional Experience:

  • Minimum of 6 years of progressive experience in contract management, claim management, within industrial projects, large-scale infrastructure, energy, or similar capital goods sectors.
  • Strong preference for document based work (writing & reading) related to contracts / technical specifications / commercial agreements.
  • Demonstrated experience across the entire contract lifecycle, including pre-award activities (e.g., negotiation, T&C review, drafting) and post-award administration (e.g., change orders, claims, dispute resolution).
  • Proven track record of successfully managing contractual risks and opportunities, resulting in positive commercial outcomes for projects.
  • Expertise in contract management and dispute resolution in infrastructure/construction sectors.
  • Experience with the preparation, analysis, and negotiation of complex delays, disruption, and extension of time (EOT) claims

Technical Skills & Knowledge:

  • Understanding of Contract Law: Knowledge of contractual terms and conditions, and their practical application in project execution.
  • Experience in Claim Management: Ability to identify, analyze, and prepare claims and notices (e.g., delay, variations) from both client and contractor perspectives.
  • Risk & Opportunity Management (Contractual): Ability to identify, assess, quantify, and mitigate contractual risks, as well as identify and capitalize on commercial opportunities embedded in contracts.
  • Documentation & Record Keeping: Experience keeping contractual records, correspondence logs (Claim & Change Log, Communication Log), and evidence to support claims or defenses.
  • Formal Business & Legal Communication: Written communication skills for drafting formal notices, variations, and correspondence to clients and contractors.
  • Technical Acumen: Ability to understand and interpret technical Statement of Work (SOW) documents, technical specifications, and scope definitions to identify contractual implications.
  • Software Proficiency: Competency in standard office software (MS Office Suite, particularly Word, Excel, PowerPoint) for document creation, analysis, and presentation.
