Then come and join our global team as Executive Assistant (f/m/d) for the Head of Marketing, Sales and Communications at Advanced Therapies to play a key role in ensuring the smooth running of the international team.
Your tasks and responsibilities:
- You will successfully coordinate complex diaries, prioritise and resolve scheduling conflicts
- Act as the main point of contact for a wide range of internal and external contacts, including international guests, clients and key opinion leaders
- You will plan meetings and workshops and assist in the preparation of presentations by drafting agendas, managing invitations and participants and organising rooms, catering and other necessary equipment or logistics. You will document the results including action points
- You will be responsible for organising business trips (flights, hotel reservations, visas, etc.) and processing travel expense reports
- You will provide administrative support for project planning, milestone tracking and follow-up with key stakeholders as required
- You will support the design and editing of presentations (mainly in English)
- You will process orders and support invoice processing and reconciliation of accounts payable in accordance with internal guidelines
- You will support other general office activities, including inventory management and processing correspondence in German and English
- You will work closely with the other assistants in Advanced Therapies to provide back-up support as required

Your qualifications and experience:
- You have completed vocational training
- You have many years of professional experience in relevant areas, e.g. in strategic planning, as an executive assistant or similar
- You have several years of professional experience as an executive assistant and in dealing with internal or external managers
- You have experience of working in an international team and are culturally sensitive
- You are familiar with MS Office products such as Outlook, Word, Excel or PowerPoint
- Ideally, you are already familiar with Siemens applications and the relevant processes
Your attributes and skills:
- You are business fluent in English and German, both written and spoken
- You have proven experience in handling sensitive and confidential information and have a strong attention to detail
- You are proactive, structured and able to work under pressure
- You enjoy learning new things
- Planning, organisational and communication skills, a confident manner, initiative, customer focus, flexibility and the ability to work independently complete your profile
