Why this role is important?

Reporting to the Supply Chain Supervisor, the Inventory Specialist A/QPIC will support our narcotics, controlled and targeted substances processes for Central Pharmacy Services located in Richmond Hill. Working in the supply chain team they will also perform order confirmation and inventory management duties.

Job Description

Narcotics, controlled drugs and targeted substances:

  • Will become and A/QPIC (Alternate Qualified Person in Charge) on the site’s Health Canada Controlled Substances License

  • Prepare NCTM medications and issue them to the production team

  • Perform regular inventory counts along with daily reconciliations for NCTM products

  • Investigate and document any discrepancies during product handling of Controlled Substances

  • Maintain documentation in accordance with standard operating procedures and as per Health Canada requirements for Controlled Substances

  • Ensure narcotic inventory is detail received and records updated under the direct supervision of a Pharmacist

  • Unpack and receive pharmacy totes inside pharmacy in a secure environment

  • Put away received pharmacy inventory in appropriate location in accordance with established workflow

  • Carry out daily inventory task, including, but not limited to placing Orders, maintaining MSLs, receiving orders, investigating discrepancies

Order Confirmation:

  • Communicate with stores via phone and email on a scheduled daily basis to verify compliance pack orders and ensure order accuracy.

  • Accurately verify prescription details such as counts, batch information, start date and order confirmations reference number into system records and ensure all verified information is consistently copied and maintained in the designated Microsoft Excel spreadsheet for accurate tracking and reporting.

  • Support store associates and pharmacists by troubleshooting transmission issues related to automated ordering processes.

  • Collaborate effectively with the CPS support and IT teams to support store operations and resolve IT-related issues and incidents, ensuring timely follow-up and resolution.

  • Deliver a high level of customer service to store staff through prompt, professional, and solution-focused support.

  • Access and manage NCTM confirmations through the government’s e-Sign platform to ensure regulatory compliance.

Inventory:

  • Unpack and receive pharmacy totes inside the pharmacy in a secure environment.

  • Put away received pharmacy inventory in the appropriate location in accordance with the established workflow.

  • Ensure stock rotation is completed, the expired product is removed from the shelf, and it is returned in accordance with standard operating procedures. Update equivalent reports.

  • Perform cycle counts in accordance with Standard Operating Procedures.

  • Carry out daily inventory task, including, but not limited to placing Orders, receiving orders, investigating discrepancies, and maintaining the MMS system related to the stocks management and control.

  • Order and maintain non-prescription merchandise in the dispensary, including stock rotation and the management of expired product.

  • Reviews operations initiatives to determine inventory needs, taking into account current on hand inventory and the required lead times to ensure Central Pharmacy Services can execute on initiatives.

What you will need:

  • Hold a degree or diploma in pharmacy, medicine, dentistry, veterinary medicine, pharmacology, chemistry, biology, pharmacy technician, laboratory technician, pharmaceutical regulatory affairs, supply chain management, security, or another relevant field. If the Degree or Diploma is from a foreign institution it must have an equivalency assessment issued by an organization recognized by a province or as defined in subsection 73(1) of the Immigration and Refugee Protection Regulations.

  • Strong interpersonal skills in order to effectively source information, obtain approvals, build relationships, and provide sufficient influence to achieve success

  • Creative problem solver and ability to work independently in a fast-paced environment

  • High degree of detail and accuracy while adapting to multiple priorities

  • Excellent written and verbal communication skills

  • Exceptional time management and problem-solving skills

  • Experience with handling and managing Controlled Substances and Inventory Management would be an asset

  • Understanding of pharmaceutical/health care industry is preferred

This role requires the employee to be flexible to work a variety of shifts during the business hours of operations, which may include weekend shifts and statutory holidays.
