Senior Analyst Strategic Operations Support/ AML Operations

Schedule: Monday to Friday 8:30am - 5:30pm / Saturdays 4 hours upon request

Purpose


Provides support and advice to the Manager Strategic and Operations Services for activities in all AML Ops units by addressing needs through project methodologies and keeping aligned processes, policies, procedures. In addition, work closely with the management by responding to all business requests with high-quality performance. The Sr. Analyst will oversee and perform the management of all administration functions relating to the day-to-day operations of the AML operations.

Accountabilities

• Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.


• Act as a point of contact for guests, partners, employees of the Campus site.


• Execute Logical Access Management processes to business units and related stakeholders to ensure an accurate onboarding and offboarding process for all AML Ops Employees.


• Support to Manager Strategic Support in the different activities to execute according to Project Management:


• Preparing project status reports for review by formulating well-written key activities and issues to focus on for the purposes of executive and/or testing audiences (internal and external).


• Ensuring accurate trending and tracking of deliverables and performance metrics.


• Maintain accurate record keeping of the documents generated from Transition projects and any internal project developed.


• Risk Management Support:


• Ensuring accurate trending and tracking of Action plans for outstanding Business Lines’ needs.


• Assisting in ensuring the AML Business Lines achieves compliance with AML/ATF regulatory responsibilities from governance perspective.


• Monitoring service levels by promptly detecting any business disruption and escalating to the management as needed.


• Coordinate agenda, minutes and logistics for AML Unit Leadership team meetings, site visits, trips, among others:


• Responsible for putting together and sending out the agenda for the AML Management meetings based on frequency.


• Responsible for scribing, preparing and sending out the minutes of the Leadership Meeting before the next meeting.


• Coordinate as per request, meeting invites to attendees listing and coordination of meeting rooms and any other equipment necessary for the meetings.


• Coordination of any required transportation arrangements such as air tickets, taxis, hotel and restaurant reservation for site visits.


• Support the timely and accurate management of expenses for the AML Unit by ensuring prompt submission of invoices and/or expense reports. Complete all expense reports, to ensure accuracy, monthly as well as the bills and receipts are submitted.


• Support the Management in their ability to effectively deliver objectives and results through administrative activities including:


• Maintaining and ordering office supplies and equipment.


• Coordinating / organizing mail, courier and shipping.


• Point of contact for supply and event vendors, etc.


• Supports operations to prepare and request IT ticket services in case of any disruption in computers, accesses and telephones in the unit.


• Maintain Managers and site vacation schedule.


• Support the production, coordination and general communications of the AML Unit.


• Updating and maintaining content for communications


• Updating and maintaining the employee email groups.


• Reviewing staff suggestions and distributing them to appropriate area for response. Posting response in appropriate medium for review by staff.


• Maintain accurate and up to date phone lists for the AML unit, including those for BCP purposes. Maintain organization chart and prepare staff requisitions to cover vacancies. Maintain the BCP plan updated.


• Executes day-to-day activities in a manner consistent with the Bank’s risk culture and the relevant risk appetite statement and limits. Supports the Bank’s risk culture and risk appetite statement throughout the AML teams.


• Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.


• Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Education / Experience


• Bachelor’s degree (University Degree) with a minimum of 1 year of experience in administrative matters and in project and process standards, AML, Compliance and/or Audit foundations in a major financial institution; or equivalent in education and years of experience.


• Advance level of English/Spanish (spoken/written).


• Knowledge and proficiency in Microsoft Office Suite, i.e., Microsoft Outlook, Microsoft Word, PowerPoint and Excel, to enable the incumbent to professionally, accurately and efficiently produce Word documents and presentations as required by the Leadership team.
