The System Administrator is responsible for managing the operation, maintenance, and change configuration of various MasterControl modules, including Document Management, Training Management, Quality Event Management and Risk and Audit Management. This role is critical to ensuring the system’s stability, accessibility, governance, and long-term success across multiple business units. It requires a blend of technical acumen, regulatory awareness, and cross-functional collaboration. As part of the local IT team, you’ll work with business stakeholders, users, and the vendor to ensure that system access and workflows meet both internal business needs and external regulatory standards. The System Administrator is key to driving continuous improvement, identifying workflow enhancements, and scaling MasterControl as business needs grow.

Your tasks

  • Administer system configuration (Create/manage user accounts, roles permissions, and workflows)
  • Manage system upgrades, patches and confirm proper testing/validation
  • Liaise with MasterControl tech support for issue resolution, system enhancements and emerging features
  • Proof of Qualification (competency tests/ reviews)
  • Non Conformity Database (submitting NCR's, tracking CAP's)
  • Process Landscape Management
  • Change Approval/ Change Management
  • Maintain and support controlled document lifecycles (drafting, review, approval and archival)
  • Monitor and escalate pending tasks, overdue actions, and workflow bottlenecks
  • Maintain audit trails, user activity logs and system documentation for internal/external audits
  • Collaborate with cross functional stakeholders to evaluate and optimize workflows
  • Support the expansion of MasterControl use across additional departments/modules
  • Technical / user support across multiple business units
  • Support multiple business units in preparing reports and records
  • Develop and maintain custom dashboards and reports for document control, training, CAPAs and change control
  • Deliver training for MasterControl users
  • Conduct onboarding / refresher sessions for new / existing employees
  • Create and maintain user training and support materials (to include job aides and FAQ documentation)

Your qualifications

  • Bachelor’s degree in IS or IT, Computer Science, Quality Assurance, Life Sciences, or related field
  • 3+ years of experience administering enterprise software systems; experience with MasterControl highly preferred
  • Strong understanding of quality management principles and regulatory requirements (e.g., ISO, etc.)
  • Experience with validation systems and change control documentation preferred
  • Proficient in system administration, troubleshooting, problem-solving, security awareness, backup and recovery
  • Strong understanding of MasterControl’s functionality and best practices preferred; MasterControl Certified Admin credentials a plus
  • Proficient in Microsoft 365 apps, experience with ITSM ticketing tools (ServiceNow) and data/reporting tools data/reporting tools
  • Able to be self-sufficient within a team environment
  • Strong analytical and problem-solving abilities
  • Detail-oriented and self-motivated with a strong sense of accountability and urgency
  • Ability to travel up to 10%
  • In order to be considered, candidates must be a US person capable of receiving a U.S. Government public trust clearance.

The total compensation for this position is $86K-$115K. Total compensation includes base salary, variable pay (when applicable) plus benefits. The range is determined by the position, geographic location and level. Individual pay within the range is determined by several factors including location, education or training, relevant work history, sales incentive structure and job-related skills.
