What is the opportunity?
The primary responsibility of the Manager, Documentation & Security is to provide proactive forward-looking leadership to transform the Documentation & Security Team to be a center of expertise, which ensures the business is kept aware of all new policies and procedures that impact their business. The role will oversee and provide leadership with a focus on leveraging technology to mitigate the risk privacy/ compliance issues and to enhance the efficiency and capacity of the team. In the role you will effectively and independently manage all operational and development initiatives required to support the operations and controls operational risk with regards to the non-negotiable and negotiable security and the end-to-end administration activities for the department.
What will you do?
- Understands the end-to-end Documentation & Security Team and Administration Team process and act as subject matter expert and referral point for questions/complex transactions for Documentation & Security Team and other RBCCM/RBC groups (e.g. CTM, Corporate Banking, etc.)
- Provide leadership and direction to Documentation & Security - acts as referral point, coach and advisor for team members and service partners
- Conduct critical review of existing Documentation & Security Team and administration processes and develop thorough understanding of requirements of applicable RBFG folios, policies and procedures, standard forms, regulatory requirements, SOX issues etc.
- Develop good understanding of existing systems (CCMS ETR, DMS, CID applications, etc) and interface between Documentation & Security team and other areas of RBCCM/RBC.
- Support the business through change management practices, agile business methodologies, working across teams to implement automation through Robotics Process Automation (RPA)and artificial intelligence
- Identify and address data integrity issues within CCMS, DMS & BCRMS. Develop meaningful management reports and build remediation/ action plans to address the discrepancies identified.
- Utilize a strategic approach to resolve issues and streamline processes through policy, technology or reporting solutions. Identify ways to maximize productivity, improve quality, create efficiency and reduce costs. Ensures the teams actively participate in keeping Operating Guidelines complete and current.
- Demonstrates commitment to process improvement as evidenced by recommendations and implementations made.
- Addresses and reconciles all risk related issues within acceptable timeframes
- Interface with Internal Audit, SOX auditors, etc. on issues impacting Documentation & Security Team
- Responsible for meeting all budget requirements for transit 14514 & 7056
What do you need to succeed?
Must have’s:
- An undergraduate degree in Finance or Business Administration with a focus on Operations, Management or Risk Management
- Minimum of 4-7 years’ experience in Documentation and Security Administration, Operational Risk Management and Leadership and Team Management
- Excellent organization, process design and implementation skills
- Very strong people management skills
- Highly developed communication and interpersonal skills, specifically able to act as change agent, facilitator and collaborator.
- Ability to perform well under pressure to multitask and reprioritize tasks as necessary and meet time sensitive deadlines
- Analytic/Systematic Thinker
- Highly organized with a strong commitment to task and an attention to detail
- Ability to convey Client First mindset to team members
Nice-to-have’s:
- Undergraduate degree in Law or Legal Studies will be an asset
- Understanding of Business Law and North American non-negotiable security registration requirements (including PPSA, Bank Act, Quebec Civil Code & UCC) and North American loan documentation and security
