What is the opportunity?
In this role you will support the Facilities Management Team’s Caribbean Portfolio comprising of Aruba, Barbados, Bahamas, Bonaire, Cayman, Curacao, St. Maarten, Saba, Trinidad & Tobago and Turks and Caicos with responsibility for managing the Corporate Real Estate (CRE) Work Order process using the approved Work Order Management tool. Manage the processing of payments of all Corporate Real Estate related invoices in accordance with the approved CRE Financial Guide.
What will you do?
- Record and track all Operational and Capital Expenditure related spends using the CRE tracking templates provided
- Support with all communication updates to Clients, Internal and External Partners
- Conduct site inspections as required by the Facilities Manager
- Supporting the Corporate Real Estate team in accordance with the policies and processes outlined in the CRE Caribbean Playbooks and Supplementary Guides (Facilities Management Guide and Regulatory Management Guide)
- Manage the processing of payments of all Corporate Real Estate related invoices in accordance with the approved CRE Financial Guide ensuring that approvals are obtained in accordance with the appropriate DOA
- Consult with Finance on appropriate General Ledger Accounts (Operational Expenditure), Work in Progress Accounts (WIP- Capital Expenses) and Transits to charge invoices to
- Process all Purchases Orders and close on Basware upon completion of works or service
- Record and track all Operational and Capital Expenditure related spends using the CRE tracking templates provided
- Keep copies of all invoices for reconciliation as required and in accordance with RBC’s retention policy
- Support with all communication updates to Clients, Internal and External Partners.
- Conduct site inspections as required by the Facilities Manager.
- Support with the management of third-party vendor relationships along with the Facilities Manager e.g. Janitorial Team, AC Service Providers, General Contractors etc.
What do you need to succeed?
Must-have
- Technical or Administrative Management Diploma, Certificate, or equivalent experience
- 2-4 year’s experience in related field
- Experience related to relationship management
- A good understanding of Facilities Management and a strong administration background
- Working knowledge of Microsoft Office with intermediate skills in Microsoft Excel
- Effective communication and interpersonal skills
- A strong Team Player and an advocate of collaborating with key partners
Nice to have
- Working Experience in data management tools within real estate.
