What is the opportunity?

We are looking to add a bright, resourceful, and organized Senior Administrative Specialist to our team. You take initiative, pay attention to detail, learn quickly, can manage internal and external relationships, and you’re a great team player with superb communication skills. Then we are looking for you! Your primary focus will be to assist Estate Planning Specialist/Advisor teams with ongoing in-force policy administration.

The Senior Administrative Specialist is responsible for providing elevated concierge-level support to life insurance licensed Advisors who have achieved a certain premier level. This role ensures that all insurance related transactional requests from these top performing advisors are prioritized and handled with exceptional care, efficiency and accuracy. The specialist acts as a single point of contact, offering proactive support, personalized service and seamless execution of all insurance servicing needs.

What will you do?

  • Deliver a high-touch service experience by offering tailored assistance, including guidance in completing complex insurance forms and ensure all documentation is accurate, complete and compliant prior to submission

  • Manage the administrative transactional request from premier level advisors

    • Review completed forms for accuracy and completeness

    • Submit completed forms to the insurance company for processing

    • Provide clear, timely updates on request statuses

    • Maintain data integrity on our database by ensuring the change has been updated

  • Anticipate advisor needs and follow up proactively to ensure satisfaction and continuity of service

  • Serve as a point of escalation for complex or urgent insurance servicing issues. Liaise with insurance carriers as needed to resolve matters quickly

  • Identify trends, pain points and opportunities for improvement in servicing workflows and advisor team engagement. Offer suggestions to enhance the premier level experience

  • Build and maintain strong relationships with assigned advisors and their teams

  • Support the team with policy reassignments requests

  • Maintain the insurance company inforce forms on our internal website

  • Contribute to business and process improvement initiatives

  • Assist with any inquires that may be requested.

What do you need to succeed?

Must-have

  • Minimum of 3-5 years in insurance or financial services or similar role

  • Post-secondary studies in a related field

  • Bilingual (French/English)

  • Full Insurance Licensed (LLQP)

  • Ability to manage multiple priorities and meet tight deadlines with accuracy

  • Proven track record of delivering high-level client service

  • Excellent verbal and written communication skills
