What is this opportunity?

The Administrative Assistant provides support to our Commercial Vice-Presidents, Real Estate.

Using a high degree of judgment and discretion, you will work independently to prepare correspondence, respond to calls and emails and manage calendars to maximize the Vice-President’s time and productivity. The Administrative Assistant will exercise good judgment in a variety of situations.

What will you do?

  • Complete a broad variety of administrative tasks for the Vice-President including: managing an extremely active calendar of appointments; organizing events; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

  • Act as the primary point of contact for internal and external partners.

  • Plan, coordinate and ensure the Vice-President’s schedule is followed and respected.

  • Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature.

  • Obtain appointment of A Commissionaire for Taking Affidavits in British Columbia

  • Work independently on projects, from conception to completion, and must be able to, at times, work under pressure to handle a wide variety of activities and confidential matters with discretion.

What do you need to succeed?
Must-have:

  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, and external partners

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Highly resourceful team-player, with the ability to also be extremely effective independently.

Nice-to-have:

  • University degree ideally in Commerce, Business Administration and/or related experience in the financial services industry
