Senior Branch Administrator

How does the role impact the organization?

The Senior Branch Administrator plays a key role in leading and motivating the team to deliver a superior client experience. As Senior Branch Administrator you will provide ongoing operational and administrative support to the Branch Manager (BM). You will assist in the implementation of branch directives and ensure that a high level of service quality is evident in all aspects of day-to-day operations.

As a self-motivated individual with exceptional administrative skills and a dependable nature, you bring to the role an ability to work within deadlines both independently and as part of a team. Proven effective time management skills and a focus on service is a must.

Through strong service leadership, Senior Branch Administrators are responsible for building a culture of excellence by collaborating with partners and coaching Sales Assistants to support high quality practices. Their efforts are critical in driving strategic business initiatives such as staff development and talent acquisition to position the business for future success.

As a champion of RJL within the community, the Senior Branch Administrator will lead initiatives to help deepen existing client relationships and develop new ones.

What will your role be responsible for?

  • Respond to requests from Financial Advisors, Sales Assistants and support staff on various operational and administrative issues
  • Maintain a working knowledge of the industry and AML rules and regulations as well as RJL policies and procedures by staying up to date on regulatory bulletins and notices as well as internal bulletins and policy and become the liaison for the branch with department heads/subject matter experts
  • Assist Branch Manager in the supervision of Financial Advisors, Sales Assistants and support staff in dealing with their work concerns and interaction with back-office operations to facilitate client support
  • Provide ongoing education to Sales Assistants and Financial Advisors about existing and new regulations governing retail activity
  • Provide back-up (i.e. assist with trade entries) to Financial Advisors/Assistants when required
  • Open/Update accounts & KYC as required, managing all documentation requirements
  • Review and process cheques and EFTs as required
  • Organize the Outlook calendar, scheduling and confirming meetings for the Branch Manager
  • Organize Branch/Client events from approval stage through execution and follow up
  • Assist on strategy and administration of email marketing campaigns, events, seminars and social media posts
  • Assist with completion of internal and external compliance audits
  • Develop and maintain necessary records and controls for the Branch Manager to ensure efficient operation
  • Assist Branch Manager in achieving business objectives including preparation of branch budgets, the reviews of month end financial reports, and the resolution of variances
  • Use Word, Excel and PowerPoint programs to store, edit, format, print and revise letters, reports, presentations and other material
  • Manage incoming and outgoing calls through the main office line and respond to general inquiries and client service requests as required
  • Perform a variety of routine office duties as required
  • Completing industry or internal courses that would fulfill your CE requirements on a timely basis
  • Escalate issues to the Branch Manager as needed

  • Provide fair and accurate formal and informal feedback and help identify and remove obstacles to performance.
  • Explain how performance expectations align with business priorities
  • Proactively recruit high potential employees within the community
  • Partner with Human Resources on all employee issues or concerns
  • Protect our firm, our clients and our shareholders by managing and minimizing the firm’s exposure to risk by ensuring compliance with regulatory activities and guidelines and by ensuring that employees adhere to established policies, practices and procedures
  • To oversee all facets of branch operations as it relates to: Supervision of all administrative and operational activities of each branch office and/or subbranch office assigned
  • Create a culture of operational excellence leading to strong compliance and operational governance results with adherence to the management of irregularities, Code of Conduct, Reputation and Legal Risk policies and training requirements

Qualifications

What do we expect from you?

To qualify for this opportunity, you possess:

  • A minimum of 5 years in the Investment Brokerage or Financial Services industry;
  • Diploma or degree or an equivalent combination of experience, education and/or training;
  • Successful completion of Investment Representative or Registered Representative licensing;
  • Previous supervisory or management experience is required;
  • Excellent written and verbal communication skills in both French and English;
  • Demonstrate advanced face-to-face, email, videoconferencing, telephone etiquette and relationship management skills;
  • Well-developed interpersonal skills and the ability to handle confidential information with tact and discretion;
  • Excellent proficiency with MS Word, Excel, Outlook and PowerPoint and a CRM tool is an asset;
  • Ability to organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment;
  • Ability to effectively manage time;
  • Excellent decision-making skills;
  • Proactive thinking and excellent problem solving abilities;
  • Ability to work effectively both independently and within a team environment;
  • Ability to assume numerous roles and responsibilities;

Salary Range: $90,000-100,000 annually, in addition to competitive performance bonuses/incentives.

Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
