Sales Assistant
How does the role impact the organization?
The Sales Assistant plays a critical role in supporting a high‑performing team of two Financial Advisors managing over $500 million in AUM, as well as the Branch Manager. They ensure the practice operates efficiently and delivers an exceptional client experience. This role includes entering trades, handling client requests, processing instructions by phone, and ensuring all documentation is accurate and up to date.

We are specifically seeking an individual who wants to progress into an Associate role within 2-3 years and is motivated by continuous learning and professional development.
What is the position responsible for?
- Foster strong client relationships through responsive communication and proactive problem solving
- Support clients’ day‑to‑day administrative and trade‑related requests
- Manage incoming/outgoing calls and respond to information inquiries
- Schedule appointments, prepare for meetings, and complete follow‑ups
- Manage paperwork, head office correspondence, and account‑opening processes
- Process security transactions and transfers, including trade instructions
- Enter trades for Financial Advisors and clients
- Handle all cash‑management duties, including incoming/outgoing funds, purchases, and redemptions
- Act as lead during tax seasons, liaising with tax professionals and clients
- Assist with marketing initiatives, social media, and website content
- Support business‑growth initiatives and lead generation
- Conduct market intelligence research
- Assist with campaigns, seminars, and client events
- Track opportunities and follow up diligently
- Continue ongoing education for regulatory and licensing purposes

Qualifications
What do we expect from you?
To qualify for this opportunity you possess:
- Strong understanding of fundamental investment concepts and securities‑industry practices
- Experience with administrative processes such as account openings (RRSPs, TFSAs, corporate accounts)
- Knowledge of compliance practices and regulations
- Experience with social media platforms
- Familiarity with personal tax filing
- CRM experience (Microsoft Dynamics an asset)
- Comfort with digital marketing tools (Google Analytics, SEO, LinkedIn, Twitter)
- Website editing experience (asset)
- Dataphile experience (asset)
Eligibility to Become a Registered Representative (RR)
Effective January 2026, CIRO has implemented new licensing requirements. As a result, the following criteria are mandatory for all applicants to this position.
If you are not currently CIRO‑licensed, you must meet one of the following prerequisites to be eligible for RR licensing:
Education & Experience
- Post‑secondary education (A university diploma in a relevant field) and or
- A minimum of four (4) years of relevant industry experience.
- Experience in investment brokerage, financial services, banking, or accounting (asset)
Licensing Requirements
Must‑have or obtain within 12 months:
- Registered Representative (RR) licensing or the eligibility to become RR licensed
- CIFC / CPH equivalent (CIRE)
- RSE (Regulatory Standards Exam)
Strong assets:
- CFA Level 1 (major asset)
- CFP designation (or CFP Level 1)
- S. Series 65 license
- Candidates eager to pursue advanced certifications are strongly preferred.

Salary Range: Base salary of $50,000-$55,000 with potential total compensation of up to $80,000 through additional performance and other bonuses/incentives.
Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
