Assistant Manager, Account Transfers

How does the role impact the organization?

Reporting to the Manager, Operations, you will provide leadership and expertise to our Account Transfers team. The incumbent will be responsible for measuring, monitoring, and managing departmental performance, as well as assisting the broader Operations team with business improvement initiatives as required.

The key objective of the role is to continue to seek opportunities to enhance operational efficiency and client service experience to our various stakeholders, while fostering a collaborative team environment.

The position offers the opportunity to join an established team, as well as further leadership development through interaction with other key stakeholders across the firm, including the Private Client Group, Corporate Services, RJL’s extensive branch network and third-party service providers.

What will your role be responsible for?

  • Effectively co-lead, manage and co-ordinate the day-to-day operations of the Account Transfers team with the assistance of the Manager, Operations, and as needed perform administrative tasks to maintain service levels.
  • Provide leadership to all members of your team including their understanding and adherence to departmental and inter-departmental policies and procedures, while demonstrating strong client-centric problem resolution skills for escalated issues.
  • Assist with the coaching of your team, design personal development plans and skills enhancement training for each associate and conduct regular one-on-one and department-wide meetings that foster an environment of open dialogue and personal and career development.
  • Oversee the timely input and completion key performance data, service level results, associate skills development tracking information, and resolution of performance variances.
  • Act as the back-up department contact for all internal and external stakeholders, including representing RJL on internal/external working groups or subcommittees as assigned.
  • Assist with and/or lead initiatives to meet or exceed changing industry and regulatory requirements, while ensuring the firm complies with industry best practices and internal quality controls.
  • Assess, identify, and implement department-specific performance improvement opportunities, while participating, assisting and/or providing project management support to the Manager, Operations, and/or the Project Management Office in the design, development, and implementation of various cross-functional performance improvement initiatives.
  • Ensure the ongoing accuracy and integrity of departmental procedure manuals, as guided by RJL’s internal control policies.
  • Assist with the preparation of the annual business plan, as well as maintain a viable business continuity plan.
  • Other duties as assigned.

Qualifications

What do we expect from you?

To qualify for this opportunity you possess:

  • Experience successfully leading a team towards stated goals and objectives.
  • Minimum 6-8 years progressive management and/or leadership experience in a diverse environment, preferably in an Operations role, with direct or related industry experience.
  • Solid understanding of concepts, practices, and procedures of securities industry and/or banking compliance
  • Working knowledge of Dataphile, CDS and Arrow as related to ATON and CDSX and other systems such as DTC and Fundserv are an asset.
  • A university or professional degree in a field related to business or operations management.
  • Successful completion of the CSC is a definite asset.
  • Capacity to independently seek out solutions and apply sound judgement in problem solving.
  • Experience creating and reviewing internal procedures and leading or managing various projects.
  • Strong leadership abilities with proven skills in problem resolution and handling sensitive or confidential situations with tact and diplomacy.
  • Excellent organizational and time management skills with the ability to work under pressure to meet deadlines while maintaining accuracy.
  • Polished client service skills and excellent verbal and written communication.
  • Excellent proficiency with MS Office, plus working knowledge of Dataphile is an asset.
  • Ability to build relationships and work towards client focused solutions with other Operations departments and third-party providers.
  • Bilingualism in French and English is an asset.

Salary Range: BC (based on Education, Work Experience, etc) $75,000-85,000 in addition to competitive performance bonuses/incentives.
