Senior Associate, Estates Processing

How does the role impact the organization?

As a member of the Estates Processing team, you will play an important role in ensuring the timely and accurate processing of various service support and administrative duties relating to the overall recordkeeping and compliance of Estate accounts at our firm. Your role will entail daily interaction with our investment advisors and their sales assistants, along with various members of our Operations team.

We are looking for someone who can provide efficient support to the members of the Estates team on navigating escalated queries, and additional support to Operations Admin Team and department manager on various other tasks.

What will your role be responsible for?

  • Manage incoming estate notifications, including communicating/gathering all related document submission requirements from our Canada-wide network of internal clients;
  • Provide ongoing service and represent the department as a key senior contact for related client enquiries and/or account administration support;
  • Investigate and resolve, either individually or in conjunction with other members on our team, any problems or errors which may occur;
  • Assist with maintaining/updating departmental procedure manuals as well as participate in the ongoing training and development of the team around you;
  • Act as a central communication point, circulating information between members of the Estates team and posting portal and web announcements;
  • Liaise with internal and external contacts, providing a high level of customer service and advice, responding to questions and Estates and project matters;
  • Assist the Estates team with tax slip management and reporting to our trustee; and
  • Other duties as assigned.

Qualifications

What do we expect from you?

To qualify for this opportunity you possess:

  • Post-secondary diploma or degree.
  • Minimum of 3 years of detailed estate administration within the financial industry experience
  • Fundamental investment concepts, practices, and procedures used in the securities industry.
  • Completion of the Canadian Securities Course (CSC) is an asset.
  • Solid knowledge of Microsoft Office Skills – Outlook, Word, Excel & PowerPoint.
  • Familiarity with Dataphile is an asset.
  • Work within deadlines in a high-volume and demanding environment while maintaining a high level of service and an imperative attention to detail.
  • Demonstrate email, videoconferencing, and telephone etiquette and relationship management skills.
  • Work independently as well as collaboratively within a team environment.
  • Demonstrate a professional manner to establish and maintain effective working relationships at all levels of the organization.
  • Good time management skills with the ability to organise and prioritise.
  • Good team working skills and the ability to work collaboratively.
  • Bilingualism in French and English is an asset.

Salary Range: BC (based on Education, Work Experience, etc) $55,000-65,000 in addition to competitive performance bonuses/incentives.
