Administration Manager
The Opportunity:
Oxford Learning is seeking a highly organized and proactive Administration Manager to oversee the efficient administrative operations of our Head Office in London, ON and play a lead role in managing our franchise documentation across Canada and the USA. Reporting to the CFO, you will be instrumental in ensuring a professional and compliant environment for both our internal team and valued franchisees. This role is in-person. Relocation packages are not available.

Key Responsibilities:
- Office Operations: Manage the day-to-day operations and maintenance of the Head Office facility, ensuring a well-maintained work environment.
- Franchise Documentation Management:
- Manage and maintain Franchise Disclosure Documents (FDDs) and Franchise Agreements for both Canadian and US territories, along with all related documentation.
- Oversee the annual revision process of the FDDs, ensuring compliance with relevant franchise legislation in both Canada and the United States.
- Serve as the primary point of contact and liaison with Oxford Learning's legal advisors on all franchise-related matters.
- Review franchise location lease agreements to ensure they contain the required provisions.
- Policy and Manual Maintenance: Maintain and update organizational policies and operating manuals utilized by both Head Office staff and franchisees.
- Human Resources Management:
- Ensure Head Office compliance with the Employment Standards Act (ESA) regulations.
- Lead the annual review and updates of the HR Handbook.
- Oversee Health and Safety management protocols within Head Office.
- Lead the annual performance review process for Head Office staff.
- Champion and foster a positive and collaborative company culture.
- Talent Management: Manage the full recruitment lifecycle for administrative Head Office staff, including hiring and training. Oversee the onboarding process for all new Head Office employees.
- Vendor & Contract Management: Negotiate contracts and agreements with vendors for both Head Office needs and the broader franchise system.
- Insurance Management: Participate in the negotiation of Directors' and Officers' insurance and premises insurance policies for Head Office. Collaborate with insurance brokers to ensure franchisees have appropriate coverage.
- Event Management: Oversee the planning, organization, and execution of company events, including the annual All-Franchise Meeting (AFM).
- Trademark Liaison: Liaise with trademark lawyers as required and maintain an accurate and up-to-date trademark list within the Franchise Disclosure Document.
- Other Duties: Undertake additional tasks and responsibilities as assigned to support the overall success of Oxford Learning.
Qualifications and Skills:
- Bachelor’s degree or professional certificate in business administration.
- Minimum 5 years of experience in office management, legal administration, or franchise operations.
- Strong understanding of office management principles and procedures.
- Excellent organizational and time-management skills with a keen attention to detail.
- Ability to interpret and understand legal documents, particularly related to franchise law (knowledge of Canadian and US franchise legislation is a significant asset).
- Proven experience in managing confidential information with discretion and integrity.
- A team player with strong interpersonal and communication skills, with the ability to interact professionally with franchisees, staff, and external stakeholders.
- Experience in human resource management practices and compliance.
- Negotiation skills and experience in vendor management.
- Proficiency in Google Workspace, Microsoft Word & Excel.
- Demonstrated ability to learn and use new software.
- Ability to work independently and as part of a team.
- Demonstrated ability to prioritize tasks and meet deadlines in a fast-paced environment.
Job Type: Full-Time
Salary Range: $55,000 - $65,000 / year
