Position Summary:
The Executive Administrative Assistant will provide high-level administrative support to the Chief Information Security Officer (CISO) and supports additional Vice Presidents within the Chief Information Officer (CIO) Office. This is the main support role and plays a critical part in ensuring smooth and efficient operations. The ideal candidate is detail-oriented, highly organized, proactive, and thrives in a fast-paced, dynamic environment. The role requires discretion, excellent judgment, and the ability to interact effectively with senior leaders, global teams, and external partners.
Key Responsibilities:
· Manage complex calendars and daily schedules for executive staff.
· Coordinate domestic and international travel, including detailed itineraries and logistical arrangements.
· Plan and execute offsite meetings, leadership events, and team offsites, including travel and venue logistics.
· Assist in the development and formatting of PowerPoint presentations, charts, and other materials.
· Organize and manage meeting agendas and consolidate briefing materials.
· Lead planning and logistics for quarterly communications such as Town Halls and executive briefings.
· Manage internal and external social and community engagement events for local teams.
· Reconcile corporate credit card transactions and submit accurate and timely expense reports.
· Enter purchase requisitions, order supplies, and manage vendor coordination.
· Maintain and handle confidential and sensitive information with a high level of integrity.
· Serve as a representative of NXP in professional interactions with senior leadership, customers, and partners.
· Perform additional duties and special projects as assigned.
Required Skills and Experience:
· Minimum of 10 years of experience as an Executive Administrative Assistant supporting senior executives.
· Highly proficient with Microsoft Office applications including Outlook, Excel, PowerPoint, Teams, SharePoint, and Adobe.
· Experience with internal IT systems such as Concur, SAP, and AI-based productivity tools.
· Excellent interpersonal, communication, and organizational skills.
· Demonstrated ability to manage interruptions professionally while remaining focused and accessible.
· Proven ability to prioritize tasks, anticipate executive needs, and propose effective solutions.
· Strong project management skills and attention to detail.
· Experience planning and coordinating team-building and social events.
· Adaptable, resourceful, and proactive in problem-solving.
· Bachelor’s degree strongly preferred.
