*Key Responsibilities:*

1. *Answer Calls and Correspondence:* Professionally manage phone calls and correspondence, ensuring timely responses.

2. *Maintain Database:* Ensure data integrity, update records, and improve database accessibility.

3. *Meeting Calendar Management:* Coordinate meetings, schedule appointments, check participant availability, book rooms, and distribute necessary materials.

4. *Travel arrangement:* Book flight tickets, cars, accommodations and restaurant reservation.

5. *Reorder Supplies:* Monitor office inventory, reorder supplies, and manage vendor relationships.

6. *Claim submissions:* Expenses claim through Concur etc.

7. *Kronos Timecard:* Manage time attendance system

8. *Maintain Contact List:* Keep an updated contact list for team members, clients, and vendors to facilitate communication.

9. *Coordinate Office Activities:* Plan and organize office events and activities to promote team engagement.

10. *Develop Filing System:* Create and manage an organized filing system for easy document retrieval.

11. *Take Meeting Minutes:* Record and distribute meeting minutes, summarizing key discussions and action items.

12. *Assist Visitors:* Greet and assist visitors, offering the necessary support during their visit.

13. *Generate Reports:* Compile administrative reports and analyze data to aid decision-making.

14. *Provide Administrative Support:* Assist with document preparation, data entry, and project support.

*Requirements:*

  • Associate’s Certificate/Diploma/Degree in related field.
  • Prior administrative experience.
  • Attention to detail
  • Multilingual may be preferred or required. Desire to be proactive and create a positive experience for others.
  • Excellent written and verbal communication skills in the English-language
  • Proficient computer skills, especially with the Microsoft Office Suite and on-line research tools, databases and e-filing systems
  • Ability to provide quality work at a fast pace
  • Approachable demeanor, fostering a team player attitude
  • Experience with Freescale/NXP System will be added advantage.
  • Good communication skills and fluent in English.
