Overview:

Provides Bid Management support to Mitel’s Global Sales teams for major strategic or end user-led projects by coordinating bid team members from multiple functions to complete comprehensive bids that give Mitel the best possible chance of winning whilst minimizing risk and improving margins. We seek to “Create an efficient and cost-effective process to support sales in winning major projects”.

Responsibilities:

  • Manage all aspects of the bid process from planning to final production to ensure format, design, content, and overall quality in terms of calculated margin, quality, deadlines, costs.

  • Review all proposal drafts and final documents to ensure responsiveness, thoroughness, accuracy and quality; facilitate final team review.

  • Establish a bid-/ and resource plan to ensure all required proposal documents are produced properly and delivered on time; drive proposal team in adherence to the schedule. Create and manage proposal outlines, kick-off documentation, and proposal deliverables.

  • Work with Sales teams and channel partners to formalize Bid Strategy.

  • Engage and collaborate with multifunctional project teams and other stakeholders to complete bids, review and address non-standard terms and conditions, and obtain necessary legal, financial, operational, and executive level approvals.

  • Ensure all pricing activities are completed and verified.

  • Track bid wins and losses, conduct post-mortem interviews, extract lessons learned from bid analysis, report on bid outcomes, and promote best practices with key stakeholders.

  • Perform detailed analysis of RFP/RFQ/RFI documents to assess customer requirements and identify any non-standard business or contractual terms, and potential revenue recognition issues, non-standard-/unfavorable contract terms.

  • Maintain and track watch list of potential opportunities.

  • Promote Mitel tools and media within Partner community, including the Proposal Library

  • Help to identify and maintain proposal content for online database and contribute reusable information whenever possible.

  • Tracking all Win/Loss information to help evaluate the performance of our sales process.

  • Provide weekly updates / reports to Group Director Commercial Management on current bid opportunities.

  • Attend customer procurement briefings / solution presentations as required / appropriate.

  • Submit Mitel input to partners’ responses on time.

  • Submit Mitel -direct bid response (where appropriate) to customer via email or portal.

Requirements:

  • Ability to adapt to changing priorities in a dynamic environment and work on multiple assignments in tandem, with overlapping schedules.

  • Strong analytical, communication, scheduling, project management, and organizational skills.

  • Ability to work with teams globally.

  • Ability to anticipate problems, develop solutions, and work with strong personalities.

  • Excellent oral and written communication skills in English and German.

  • Team player demeanor with a focus on the success of the team is a must.

  • Proactively collaborate with other team members across global time zones with the utmost professionalism, tact, and resolve.

  • Ability to hold team members accountable for deliverables and meeting strict deadlines.

  • APMP participation and certification highly desired.

  • Clear understanding of customer tender portals and their intricacies.

  • CRM experience (Salesforce, CPQ) is considered a plus.
