Purpose:

The Sales Coordinator plays a vital role in streamlining and supporting the leasing operations to enhance customer experience, improve efficiency, and uphold high standards across the department. Acting as the central point of contact for incoming business, the Sales Coordinator ensures consistent communication with clients, maintains accurate CRM data, and implements processes that drive the Leasing Department's success, particularly during periods of growth.

Responsibilities:

• Serve as the first point of contact for all incoming leasing inquiries, ensuring timely and professional responses.

• Provide administrative support to the Leasing Team, including coordinating schedules, client communications, and tracking follow-ups.

• Act as the "gatekeeper" for leads, ensuring they are entered accurately into the CRM and appropriately assigned to leasing agents.

• Develop and implement standardized client communication protocols to create consistency across all agents.

• Maintain oversight of the CRM system (HubSpot), ensuring accurate data entry, tracking of all client interactions, and timely updates.

• Prepare weekly, monthly, and quarterly reports to monitor leasing performance and identify areas for improvement.

• Collaborate with the Director of Leasing to establish and enforce leasing standards and procedures.

• Assist in planning and coordinating leasing events and open houses.

• Act as the department's liaison with Marketing, ensuring promotional efforts align with leasing goals.

• Monitor market trends and competitor activity to provide valuable insights to the team.

Requirements:

• Experience: 2-3 years in a sales support, administrative, or coordination role, preferably in property management, real estate, or a customer-facing industry.

• Skills: Strong organizational and multitasking abilities, excellent verbal and written communication skills, and a high level of attention to detail.

• Technical Proficiency: Proficient in CRM systems (HubSpot experience preferred), Microsoft Office Suite, and reporting tools.

• Client-Focused: Demonstrated ability to deliver exceptional customer service and foster positive client relationships.

• Adaptability: Comfortable working in a fast-paced environment with shifting priorities, particularly during periods of growth.

• Problem-Solving: Proactive in identifying challenges and implementing practical solutions to improve efficiency and outcomes.

• Team-Oriented: Collaborative mindset with a willingness to support and uplift the team to achieve shared goals.

Role Specific Requirements:

• Process Optimization: Create and document leasing workflows and processes to ensure consistency and efficiency across the team.

• Client Experience Management: Develop a standardized "what to expect" guide for clients to set clear expectations for the leasing process.

• CRM Oversight: Regularly audit the HubSpot system to ensure lead progression is tracked accurately and follow-ups are completed within defined timeframes.

• Training and Support: Provide ongoing CRM and administrative training to new and existing leasing agents.

• Quality Assurance: Monitor client interactions to ensure high-quality customer service standards are upheld.

• Performance Metrics: Track KPIs such as lead response time, conversion rates, and lease completions, and provide actionable feedback to the team.
