Responsibilities
- Provide comprehensive administrative assistance to site managers and executives.
- Prepare and edit PowerPoint presentations, communications, and materials for internal and external stakeholders.
- Organize and coordinate meetings, including scheduling, agenda preparation, and sending reminders.
- Manage travel arrangements, complete expense reports, and ensure compliance with company policies.
- Plan and execute events such as coffee talks, site visits, and employee engagement initiatives, including catering and logistics coordination.
- Serve as a liaison for seamless communication between executives, other departments, and external organizations.
- Maintain confidentiality while managing sensitive information and ensuring compliance with company standards.
- Monitor, prioritize, and resolve competing demands in a dynamic environment.
- Submit and track requisitions for purchase orders and invoicing.
- Prepare and analyze Excel reports, ensuring data accuracy and actionable insights.
- Organize, digitize, and manage legal and other high-priority documents.
- Coordinate cross-departmental projects and initiatives to enhance collaboration and achieve company goals.
- Support and contribute to Employee Network Group initiatives to foster an inclusive and engaged workplace culture.
- Proactively identify process improvement opportunities to enhance communication and collaboration across teams.
- Leverage experience in event management to deliver high-impact corporate events.
Qualifications
- Proven experience as an executive assistant in a multinational environment.
- Demonstrated ability to organize complex events and manage cross-functional coordination.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams), with expertise in creating reports and presentations.
- Professional fluency in French and English (written and verbal).
- Strong decision-making and problem-solving skills, with a proactive approach to managing tasks.
- Exceptional organizational and time-management skills.
- Interest in other support functions (HR, WPS…)
