Responsibilities

This role is an Executive Assistant position supporting the Vice President of Treasury & Investor Relations for Keysight Technologies, located in Santa Rosa, California. This position manages a broad range of administrative tasks and helps to drive operational excellence as a member of a fast-paced, global team. The individual will serve as the main point of contact for the team and help build a professional and welcoming environment for both our internal partners and external stakeholders. In particular, the role requires strong collaboration with the Executive Assistants of the CEO, CFO, General Counsel, and business leaders. The position handles highly sensitive and confidential information on a regular basis and requires a high level of discretion. In addition, the individual will provide project coordination and administrative support for key IR and Treasury team initiatives.

Responsibilities include:

  • Maintains awareness of significant deadlines and schedules that impact the VP and staff and proactively plans for them.
  • Manages calendars and schedules for the Vice President and Director of Investor Relations, including coordinating meeting logistics
  • Coordinates all aspects of complex travel arrangements for both domestic and international business travel including booking flights, hotels, and local transportation; providing agendas and itineraries; and, arranging passport/visa requirements if necessary. Prepares and reconciles travel expense reports.
  • Collaborates and communicates effectively with senior executives and their assistants. Builds strong working relationships with Executive Assistants of the CEO, CFO, General Counsel, and business leaders as well as other internal stakeholders.
  • Communicates professionally with external customers, which includes a broad range of interested persons from both the investor and banking communities, as well as shareholders of the company.
    • Prepares correspondence, reports and other documentation as needed. Screens emails, calls, and visitors, and resolves routine and complex inquiries.
    • Manages Investor Relations email node. Responds or redirects inquiries as appropriate and in a timely manner.
  • Become adept in using Investor Relations client database to prepare meeting materials and log client updates/communications.
  • Must understand and fully comply with SEC regulation Fair Disclosure (FD), which specifically limits what can be shared about the company with individuals both external and internal.
  • Participates and/or leads tactical projects within the Treasury or IR function including:
    • Earnings call logistics; website organization; investor, analyst, banking and board meeting event requirements; or other large meetings with both internal and external parties.

Knowledge, Skills, and Abilities

  • Excellent interpersonal, verbal, and written communication skills. Communicates with internal and external stakeholders with professionalism, accuracy, and speed.
  • High level of judgment and discretion are an absolute necessity.
  • Proficiency with a wide range of technology and tools.
  • Advanced PC and MS Office business applications skills (Outlook, Teams, Word, Excel, PowerPoint).
  • Collaboration tools such as Zoom, SharePoint, and videoconferencing.
  • Willingness to learn. The ideal candidate will understand general business operations and is expected to possess a high-level of expertise in business policies and procedures.
  • Proactive in managing issues, foreseeing potential problems, and preparing for solutions in advance.
  • Exceptional organizational skills with strong attention to detail and ability to effectively multi-task.
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline-driven environment.
  • Ability to work independently, as well as in conjunction with team members.
  • Detail-oriented, self-driven, highly motivated individual with positive energy.

Education and Experience

  • Prior experience in providing administrative support at a high-level with poise, personality, and initiative. Direct experience in Investor Relations a plus.
  • Experience with IR platforms and applications such as S&P, Nasdaq, or other CRMs a plus.
  • Requires a minimum of 8 years of directly related experience, with typically 10 to 15 years of experience.
  • Experience navigating a complex and diverse environment and comfort in interacting with team members of all levels.
  • Requires Associate degree and/or higher education, and specialized training/certification.

This role is located in Santa Rosa, CA and is required to be onsite 5 days a week. No remote.

The level of role will be based on applicable experience, education and skills; Most offers will be between the minimum and the midpoint of the Salary Range listed below.

California pay range: MIN $72,000 - Max $120,000

Note: For other locations, pay ranges will vary by region
