This team is seeking an exceptionally organized and proactive Executive Assistant to provide high‑level administrative and operational support to the President and Chief Operating Officer. This role is critical to the smooth functioning of our executive office and requires someone who can navigate a fast‑paced environment, manage sensitive information with absolute discretion, and serve as a trusted partner to senior leadership.
The Executive Assistant will handle a broad range of responsibilities, including complex calendar and travel management, preparation of executive‑level correspondence and reports, meeting coordination, departmental process support, and cross‑functional liaison work. The ideal candidate thrives on anticipating needs, building strong working relationships, and ensuring seamless day‑to‑day operations in support of strategic business objectives.

🔧 Key Responsibilities
- Provide comprehensive administrative support to the President and COO, managing calendars, priorities, appointments, and executive communications.
- Coordinate domestic and international travel itineraries, meetings, agendas, and teleconferences.
- Prepare, edit, and distribute high‑quality correspondence, reports, meeting minutes, and presentations.
- Manage confidential information and act as a primary communication point between executives and internal/external stakeholders.
- Organize, track, and maintain departmental files, databases, training records, and workflow systems.
- Support recruitment‑related activities and onboarding for new team members.
- Plan and execute business meetings, events, and executive engagements—including off‑site meetings.
- Oversee expense reporting, P‑Card activity, procurement, and basic IT coordination for the department.
- Lead or support special projects, research initiatives, and process improvements that enhance operational efficiency.
- Serve as a resource for information gathering, problem‑solving, and decision support when executives are unavailable.
🎯 Qualifications
- High School Diploma (or equivalent) required; advanced training or education strongly preferred.
- Minimum 8 years of relevant administrative experience, with a strong preference for executive‑level support.
- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook, Access).
- Exceptional written and verbal communication skills.
- Proven ability to prioritize, manage multiple tasks, and meet tight deadlines independently.
- Strong judgment, discretion, and the ability to handle sensitive information appropriately.
- Excellent relationship‑building skills with colleagues, leaders, and external partners.
- Highly organized, self‑directed, and comfortable working in a dynamic, fast‑paced, global environment.

The potential base pay range for this role, when annualized, is $46,400.00 - $115,900.00. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.
