Associate Project Manager / Project Analyst

Job Summary:
The Associate Project Manager supports the successful execution of regulatory projects, with a focus on long-term regulatory lifecycle maintenance within IQVIA’s RADDS group. This role provides comprehensive project and operational support, including, but not limited to documentation management, financial tracking, client reporting, and process standardization. The Project Specialist plays a key role in ensuring project consistency, compliance, and financial health across a portfolio of regulatory projects.
Key Responsibilities:
Project Tracking & Operational Oversight
• Develop, maintain, and improve project tracking tools, including timelines, deliverables, unit-based metrics, and financial performance.
• Monitor project progress against scope, budget, and timelines, escalating risks and variances to the Project Manager or Project Lead.
• Track unit-based deliverables and ensure accurate reporting for billing and performance metrics.
• Coordinate with other project support staff across the organization to consolidate and streamline support processes.
• Serve as a backup contact for internal teams and external stakeholders as designated by the Project Manager.
Financial & Operational Support
• Assist in the preparation and maintenance of project budgets, forecasts, and financial reports.
• Perform monthly and ad-hoc revenue reconciliation to ensure accurate invoicing and revenue recognition against the correct P&Ls.
• Support project forecasting by analysing trends, resource usage, and deliverable completion rates.
• Collaborate with finance and contracts teams to ensure alignment on project scope, billing terms, and financial reporting.
Client Reporting & Communication
• Create and deliver monthly and ad-hoc client reports, including project status, financial summaries, and key performance indicators.
• Prepare presentation materials for meetings and project summary data.
• Ensure timely and accurate communication of project updates to internal and external stakeholders.
• Schedule and coordinate meetings, including agenda preparation, minute-taking, and action item follow-up.
Systems & Tools Proficiency
• Utilize and maintain internal systems (e.g., Salesforce, SharePoint, Smartsheet, SAP, Oracle) to support project tracking and reporting.
• Ensure data integrity and consistency across systems and support audits or inspections as needed.
Process Improvement & Standardization
• Drive uniformity and standardization across all projects by promoting best practices, templates, and SOP adherence.
• Contribute to continuous improvement initiatives and support knowledge sharing across teams.
• Support and drive new initiatives to optimize ways of working, leveraging advanced tools such as Generative AI, Power BI, and Microsoft Power Apps.
Compliance & Quality
• Ensure all project activities are conducted in compliance with applicable regulatory guidelines and internal quality standards.
• Support audit readiness and participate in internal or external audits as required.
Training & Mentorship
• Develop training materials related to new project deliverables and processes.
• Train and mentor junior project support staff as needed.
Qualifications:
• Education: Bachelor’s degree in Life Sciences, Business Administration, or related field.
• Experience: 2–5 years in a project coordination or administrative role within a CRO, pharmaceutical, or regulatory environment.
Skills:
• Strong understanding of project financials, delivery models, and operational metrics.
• Experience with financial reconciliation, forecasting, and client reporting.
• Proficiency in Microsoft Office Suite (including advanced Microsoft Excel skills) and project management tools (e.g., MS Project, Smartsheet, SharePoint).
• Experience with systems such as Power BI, Microsoft Power Apps, SAP, Oracle, and Salesforce is highly desirable.
• Excellent organizational, analytical, and communication skills.
• Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
• Strong interpersonal skills and a detail-oriented, results-driven approach.
