IQVIA are seeking a dedicated and detail-oriented Project Support Associate to join our team. As a Project Support Associate, you will play a crucial role in ensuring the smooth operation of complex projects and maintaining strong client relationships.

This is a hybrid role based in Reading (1 day per week in the office).

Responsibilities:

  • Provide comprehensive administrative support to field-based staff working on large, customer-managed projects.
  • Act as an internal line manager for employees allocated to complex projects or multiple project teams.
  • Collaborate with Project Managers and Directors to enhance client relationships and increase employee engagement.
  • Serve as the main internal contact for employees from induction to separation.
  • Coordinate cross-functionally with Finance, HR, HRPSC, and other relevant departments to ensure effective service delivery.
  • Monitor project performance trends, highlighting cost implications related to absences or sickness.
  • Support month-end administration and team coordination.
  • Keep Project Directors informed through reports and trackers on project matters and issues.

Essential Functions:

  • Collaborate with the Team Coordinator function to understand its contribution to the Commercial business.
  • Be the point of contact for project-related queries, addressing issues or directing them to the appropriate contact.
  • Follow processes and procedures (new employee, leaver, transfer) to ensure effective team administration.
  • Update relevant systems (e.g., PeopleSoft Financials, Orange Billing Manager, Eagle, PeopleSoft Expenses).
  • Track absence levels and identify sickness trends within the project.
  • Assist in producing and documenting presentations and organising team/customer meetings.
  • Support month-end administration, including financial tracking for project revenue recognition.
  • Ensure requisitions and invoices are coded correctly for billing purposes.
  • Liaise with customers to address issues or escalate them as needed.

Required Experience:

  • Secondary School Qualifications (or equivalent)
  • 2-5 years of related experience
  • Excellent verbal and written communication skills
  • Strong telephone manner and team working skills
  • Flexible attitude toward work and good prioritization skills
  • Ability to establish and maintain effective relationships with co-workers, managers, and clients
  • Proactive problem-solving abilities and the ability to make appropriate decisions within scope
  • Willingness to share experiences and learning with colleagues
  • Intermediate understanding of Word, PowerPoint, and Excel
