About this opportunity
We are seeking an Administrative Assistant to join Ericsson’s Compliance Office and Investigations team (part of Group Function Legal Affairs & Compliance), providing high-level administrative support for our Head of Corporate & Government Investigations (CGI) Hub Asia, Head of Compliance for Market Area South East Asia Oceania & India (MOAI), and their team members.
What you will do
- Provide comprehensive administrative support and guidance, integrating strategic thinking into day-to-day activities, including calendar management and decision-making processes for the Heads of CGI Americas Hub and MOAI Compliance.
- Prioritize and manage inquiries and requests, proactively troubleshooting conflicts, and providing strategic recommendations to optimize engagements.
- Utilize exceptional organizational skills to oversee and support scheduling, call management, and decision-making processes, aligning them with the strategic goals of the organization.
- Manage travel arrangements and associated planning, ensuring alignment with strategic objectives and optimizing executive time and resources.
- Support expense reimbursements for the Heads of CGI Asia Hub and MOAI Compliance and expense reviews for their teams.
- Attend and take Minutes of the Meeting for various Leadership Team and Committee Meetings, ensuring that important information and action items are captured, and obtaining timely approvals for the Minutes.
- Organize or assist in the preparation, execution, and follow-up of staff meetings, all-employee meetings, special events, training sessions, and workshops.
- Handle administration of entry and exit of employees and consultants, as needed.
- Format and proofread Word documents, Excel spreadsheets, and PowerPoint presentations.
- Collaborate, network, and communicate effectively with other assistants within and outside the organization, fostering synergies and sharing best practices.
- Support and inform unit members about Ericsson internal administrative processes, systems and tools.
- Additional tasks can be tailored to fit the ambitions of the right candidate (e.g., assisting with design of presentations, project management tasks, special projects, etc.).
You will bring:
- 3 years minimum experience as an Administrative Assistant, including 2+ years minimum experience as an Executive Administrative Assistant. Prior experience working with legal teams is a plus.
- Excellent interpersonal and communication skills with executive presence, with the ability to articulate complex ideas clearly and concisely to diverse audiences, whether in person or remote.
- Advanced proficiency in the Microsoft Office Suite, including MS Teams, PowerPoint, and Excel with a demonstrated ability to leverage technology to enhance administrative processes.
- Extensive experience in arranging complex schedules, managing time and logistics across multiple time zones, with a global perspective and understanding.
- Exceptional problem-solving skills, with a keen eye for structure and execution.
- High integrity, strong work ethic, and the ability to maintain confidentiality while dealing with diverse groups of stakeholders.
- Ability to excel in a large, international corporate environment, navigating complex organizational structures and driving collaboration across diverse teams and geographies.
- Flexibility to communicate and complete tasks during non-traditional working hours on a limited basis, demonstrating a commitment to supporting organizational goals and objectives.
- English fluency.
