Position Summary
*This is an in-office role onsite in the Deloitte University Westlake office 4 days per week.
The Operations Coordinator plays an integral role in supporting day-to-day operations at Deloitte University by providing a variety of project, administrative, and operational services. Responsible for day-to-day operations including, but not limited to onsite access requests, payment and invoicing, and onboarding of key personnel for both Deloitte and contractors, this role requires an individual who is organized and motivated to work autonomously. Other strategic priorities and projects are assigned as needed, based on evolving operations needs and opportunities.

The candidate will have individual responsibilities but also coordinate, execute, and deliver work products on behalf of the team. The candidate will provide excellent customer service, possess a high degree of self-confidence and executive presence, exercise discretion and diplomacy in all interactions, proactively anticipate and manage challenges, be a self-starter with strong abilities to manage multiple responsibilities, work efficiently, and remain flexible to changes.
Responsibilities include but are not limited to the following:
- Responsible for end-to-end process for contractor on/off boarding requirements for all onsite vendor teams (~1100 employees) to include compliance requirements for requisite trainings
- Manage transient guest requests and access requirement strategy, working across teams to ensure seamless experience
- Manage direct review and coordination of open invoices for all DU internal groups. Execute the accounts payable entry, approval, and documentation processes and new vendor set up as needed
- Provide oversight, implementation, and facilitation/execution of charge-back process for internal services (UPS, Mail)
- Manage online database to ensure critical operations files and data are organized, protected and accessible
- Participate in property walks to gather insights and inform on maintenance requirements and opportunities
- Execute specific projects or initiatives as assigned to support operational requirements
- Perform general office management activities, supply management, office organization, and adherence to Federal office signage requirement i.e., OSHA/Department of Labor
- Serve as liaison to Guest Services team for management of the DU mailbox, working with key teams to ensure guests receive appropriate and updated information
- Collaborate across teams to provide project support across key operational areas
Qualifications
Required:
- Bachelor’s degree preferred and a minimum of one year at Deloitte
- Experience that demonstrates business acumen, strong communication, organizational skills, and the ability to work in a team environment
- Superior technical skills, including the ability to learn and master a variety of internal custom business applications. Advanced skills in Word, Excel, PowerPoint, Teams, and Outlook
- Excellent verbal and written communication skills
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future
