Work you’ll do
This individual will be a part of the Client Experience Delivery team supporting Next Generation CXO Academies at Deloitte University. This individual coordinates with the program lead for each Next Generation CXO Academy to support development, operations and execution. The senior project specialist will oversee production support, logistics and event execution for Academy programs. In addition, the senior project specialist will drive innovation, process improvement, and share leading practices. Overall, the Academy services team will focus on delivering a consistent, high-quality client experience for all Academy programs. As a Senior Project Specialist at Deloitte your responsibilities will include:
Enrollment and Registration
- Consult on enrollment and registration materials
- Monitor and track participant pre-work status
- Advise CXO program team on best practices for touchpoint scheduling process
- Update Salesforce through USI with current registration information
- Advise on pre-Academy preparation emails to clients, hosts, facility, staff
Onsite event management
- PMO, track task completion with Academy Leader
- Work with CXO program team to finalize master agenda detail (including space allocation)
- Work with program team to provide best practices on Event App
- Manage all logistics for Academy at Deloitte University including space reservations, F&B and MJM production requirements
- Manage final logistics arrangements for plenary speakers
- Develop schedule of core team assignments and distribute
- Review name badges report and Carey transportation manifest
- Manage Transition Lab set up (with CXO Program)
- Work with Meeting & Event Services to execute contracts and pay with speakers, entertainment, vendors
- Process invoices related to the Academy
Onsite Documents and Materials
- Manage Resource Plot, coordinate with DU Resource Manager and track shipments to DU
- Order curriculum materials (plenary speaker books, Business Chemistry materials, 360 materials)
- Print and ship on-site materials (lanyards, evaluations, labels, sign in sheets, etc.)
- Order all onsite signage and giveaways including awards, notebooks, pens
- Work with DU resource manager to load team room presentations onto smart podiums
- Manage CPE / CLE process including signup sheets, submission and distribution of certificates
- Evaluation creation and onsite collection
- Compose breakout assignment cards for pocket agendas; print and distribute to core team and breakout session leaders
Qualifications
Required:
- Minimum of 3-5 years of related hospitality or office support experience in a corporate, hospitality, service-oriented or customer-centric environment
- Bachelor’s Degree
- Strong technical skills, including proficiency in Microsoft Office
- Excellent written and verbal communication/interpersonal skills
- Excellent critical thinking, decision-making, and conflict resolution skills
- Effective problem-solving and negotiation skills
- Willingness to be cross-trained in other office support service areas for back-up support and assume additional responsibilities/projects when necessary and as appropriate
- Ability to work occasional overtime
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future
Preferred:
- Advanced experience in Microsoft Office applications
- Hospitality/corporate background with focus on event planning
The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Deloitte, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $73900 to $100,0000
