Job Description:
Role Overview
We are seeking a Practice Operations Analyst to support the day-to-day operations of our consulting practice. This role is India-based and will serve as the operational backbone of the team – ensuring sales pipelines are accurate, projects are tracked, financials are consolidated, and knowledge assets are well organized. The ideal candidate will bring a mix of analytical rigor, attention to detail, and strong communication skills to collaborate effectively with senior consultants in the US.
Key Responsibilities
Sales & CRM Operations
Track and maintain all incoming leads across channels (website, referrals, PE sponsors, partners).
Keep CRM systems (Salesforce, HubSpot, MS Dynamics, or similar) updated with accurate lead, opportunity, and client data.
Follow up with team members to confirm updates on leads and opportunities.
Prepare weekly pipeline dashboards (lead status, win/loss, conversion rates).
Maintain a repository of proposals and RFP responses.
Project Operations
Maintain a master list of active projects, tracking status, staffing, budgets, and timelines.
Conduct weekly check-ins with engagement managers to capture project progress and risks.
Track team schedules and utilization to support staffing decisions.
Align pipeline opportunities with available capacity to support resource allocation.
Collect project summaries and translate them into polished case studies and internal knowledge artifacts.
Practice Management & Financials
Track and report on practice-level financials (revenue, margin, backlog, forecast).
Develop and maintain Power BI dashboards for leadership (sales, staffing, financials).
Prepare practice performance updates for leadership meetings and QBRs.
Support internal governance routines (weekly ops calls, monthly reviews).
Data & Analytics
Manage access, permissions, and data quality for CRM, scheduling, and collaboration tools.
Collect and clean data for reporting on sales, staffing, and project delivery.
Automate recurring reporting where possible (Power Automate, Excel macros, CRM automation).
Conduct basic data analysis (pipeline health, utilization trends, revenue mix).
Design & Communications
Create professional, client-ready PowerPoint decks with strong visual storytelling.
Design internal collateral such as templates, one-pagers, and case study layouts.
Ensure brand and formatting consistency across all materials.
Knowledge & Team Support
Organize and maintain the practice deliverables repository (decks, playbooks, reports).
Capture knowledge from completed projects into reusable content.
Coordinate scheduling for leadership and practice-wide meetings.
Serve as liaison between offshore operations and US senior consultants for updates and validations.
Collaboration Model
The Analyst will work closely with US-based senior resources, providing structured support while ensuring final decisions and validations remain with leadership:
Sales Leaders / Directors → Align on opportunity pipeline, ensure CRM accuracy.
Engagement Managers → Provide timely project updates, track deliverables, flag risks.
Practice Leader → Consolidate financials, pipeline, and utilization into dashboards.
Marketing / BD Team → Translate project outcomes into client-facing collateral.
Resource Managers → Coordinate staffing based on pipeline and demand.
Candidate Profile
Skills & Competencies
Strong Excel and Power BI (pivot tables, dashboards, basic DAX).
CRM familiarity (Salesforce, HubSpot, MS Dynamics, or Zoho).
Exposure to project coordination / PMO functions.
PowerPoint and graphic design polish (visual storytelling, templates).
Clear written and spoken English for drafting case studies, emails, and reports.
Experience
Prior experience in consulting operations, sales ops, or project coordination roles.
Exposure to professional services (Big 4, mid-tier consulting, or IT services firms).
Experience working with global/US teams across time zones.
Traits
Highly detail-oriented, structured, and organized.
Proactive with follow-up; anticipates needs rather than waiting for instructions.
Comfortable handling sensitive financial and client data.
Quick learner of new tools and systems.
