Position Overview The Vendor Relations Coordinatorkeeps Cornerstone's marketing engine moving by owning the path every marketing vendor agreement takes, from first redline to final payment. Reporting to the Chief of Staff to the CMO, you will review incoming vendor contracts, shepherd them through Legal, Finance, Security, and Procurement approvals, and make sure vendors are onboarded, invoiced correctly, and paid on time. This role sits at the intersection of marketing, legal operations, procurement, and project management. You'll be the go-to partner for marketers who need to get an agency, event venue, sponsorship, or software tool under contract, and the trusted coordinator who keeps Legal and Finance informed and every deal compliant. The right person brings sharp organization, calm follow-through, and genuine people skills to a high-volume, deadline-driven environment. Key Responsibilities: Serve as a central intake point for all marketing vendor agreements, including MSAs, SOWs, NDAs, order forms, sponsorship and event contracts, agency agreements, and renewals. Conduct first-pass review of vendor contracts against Cornerstone's standard terms, flag non-standard clauses and risks, and route agreements to Legal with clear summaries. Manage contracts end to end through Cornerstone's legal, procurement, security, and finance approval workflows, following signing authority policies and executing via DocuSign. Own vendor onboarding, including supplier setup, tax and banking documentation, and security or data privacy reviews where required. Create and track purchase requisitions and POs, and partner with Accounts Payable to match invoices to POs, resolve discrepancies, and ensure vendors are paid accurately and on time. Maintain a central contract repository and tracker covering key dates, renewal and termination notice windows, spend, and owners, and proactively alert stakeholders before deadlines. Project manage a high volume of concurrent contracts and requests, setting clear timelines, communicating status, and escalating blockers early. Act as a friendly, knowledgeable guide for marketers, helping them understand what's needed, how long it takes, and how to plan ahead. Partner with Marketing leadership and Finance to track marketing vendor spend against budget and support month-end accruals and quarterly planning. Identify bottlenecks and continuously improve intake, templates, playbooks, and workflows, including opportunities to apply AI and automation. Build and maintain reporting on contract cycle times, invoice aging, renewals, and vendor spend for marketing leadership. Requirements: Fluent in English. 3–5+ years of experience in legal operations, contract administration, procurement, or vendor management, ideally supporting a marketing or go-to-market organization. Working knowledge of common commercial contract terms (MSAs, SOWs, NDAs, payment terms, IP, indemnification, auto-renewals) and the judgment to know when to escalate. Strong project management skills, with a proven ability to juggle many concurrent requests, set priorities, and hit deadlines without dropping details. Exceptional organizational skills and meticulous attention to detail in documentation, tracking, and record keeping. Excellent interpersonal and communication skills, with the ability to build trust with marketers, Legal, Finance, and external vendors alike. Experience with procure-to-pay processes, including purchase requisitions, POs, invoice matching, and vendor onboarding. Hands-on experience with e-signature and contract tools such as DocuSign, plus strong proficiency in Excel. A service-oriented, solutions-focused mindset and comfort working in a fast-paced environment with shifting priorities. Bachelor's degree or equivalent practical experience. Extra dose of awesome if you have: Experience in a SaaS or technology company. Familiarity with procurement, ERP, or contract lifecycle management systems (e.g., Oracle or similar). Experience with marketing-specific agreements such as event venues, sponsorships, agencies, influencer or media buys. Paralegal training, a contracts certification, or a project management certification. An AI-first mindset and experience using AI tools to speed up contract review, tracking, or reporting. Experience supporting global vendors and multi-currency payments.
