Position Overview

The Sales Administrator is a junior, cross-functional role that supports the end-to-end sales lifecycle, from early client engagement through quoting, order coordination, and internal execution.

Working within the Defense and Space sales team, this role collaborates closely with Marketing, Purchasing, Finance, and Operations to help keep opportunities progressing, maintain alignment across teams, and ensure client commitments are delivered effectively. This position provides a high-exposure entry point into sales, partnerships, and operational support.

Responsibilities

  • Support client engagements, including onsite meetings, partner sessions, and internal reviews.
  • Prepare client-facing materials, briefing notes, presentations, and supporting documentation.
  • Track follow-up actions, key deliverables, and next steps to support sales opportunities.
  • Prepare entry-level quotes and support Account Managers and Inside Sales Representatives with deal execution.
  • Coordinate inputs from sales, vendors, and operations to ensure quote accuracy and completeness.
  • Maintain proposal, pricing, and sales documentation, ensuring effective version control.
  • Support proposal and bid responses, including RFPs, RFQs, and RFIs.
  • Coordinate stakeholder contributions, format submissions, and monitor proposal timelines.
  • Schedule and coordinate internal and external meetings involving multiple stakeholders.
  • Prepare meeting agendas and ensure meetings are organized and productive.
  • Draft, proofread, and format communications, reports, presentations, and other business documents.
  • Support sales enablement activities, including materials development, tools administration, and internal learning sessions.
  • Assist with team meetings, quarterly business reviews, and sales-related events.
  • Support purchasing activities, including purchase order creation, order tracking, and vendor follow-up.
  • Coordinate with Purchasing to communicate order timelines and status updates.
  • Maintain accurate information within CRM systems, including opportunities, activities, and account records.
  • Support reporting related to sales pipeline activity, orders, and performance metrics.
  • Ensure consistency and accuracy of information across CRM and ERP platforms.
  • Collaborate with Sales, Marketing, Partnerships, and Operations teams on cross-functional initiatives.
  • Support marketing campaigns, partner activities, and process improvement efforts.
  • Perform other duties as assigned.

Qualifications

  • 1 to 3 years of experience in a sales support, administrative, coordinator, or related role.
  • Experience supporting sales, procurement, operations, or customer-facing teams is considered an asset.
  • Exposure to proposal development and structured business processes is considered an asset.
  • Strong organizational and time management skills.
  • High attention to detail with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a fast-paced and evolving environment.
  • Proficiency with Microsoft 365, including Excel, PowerPoint, and Outlook.
  • Experience with CRM platforms such as Salesforce or HubSpot is considered an asset.
  • Experience with ERP platforms such as NetSuite or similar systems is considered an asset.

Additional Requirements

  • Reliability Status security clearance is required.
  • Ability to work in a hybrid work environment based in Ottawa, Ontario.
  • Demonstrated ability to analyze problems, develop practical solutions, and implement them independently.
  • Commitment to maintaining accurate records, reporting, and operational processes.
  • Adherence to all health, safety, and workplace policies and procedures.

Compensation

$50,000-$60,000 annually
