Position Overview

We are looking for a bilingual Health Contract Coordinator to support the delivery of healthcare staffing services across hospitals, long-term care homes, and private-sector clients in the Ottawa region. This fully remote role focuses primarily on coordinating and scheduling healthcare providers, including Personal Support Workers, patient sitters, and nurses, while providing timely operational support in a 24/7, 365-day environment.

You will work closely with healthcare providers, client sites, the Operations Manager, and Contract Manager to help ensure staffing needs are met and schedule changes are handled effectively. This is an entry-level opportunity well suited to someone with previous staffing or scheduling coordination experience who is organized, responsive, and comfortable working independently in a fast-paced environment.

Responsibilities

  • Coordinate and schedule healthcare providers across hospitals, long-term care homes, and private-sector client locations.
  • Communicate directly with healthcare providers regarding availability, scheduling requirements, and schedule changes.
  • Act as a first point of contact for healthcare providers calling in sick, experiencing issues at client locations, or requiring operational support.
  • Use Nexi and other electronic systems to manage customer staffing and scheduling requests.
  • Monitor healthcare provider credentials and compliance requirements with support from the Contract Manager and ensure documentation remains current.
  • Collect required onboarding documentation and annual renewals from healthcare providers.
  • Support the onboarding of new Personal Support Workers, including orientation sessions.
  • Support scheduling changes and prioritize staffing requirements based on client needs, resource availability, urgency, and other operational considerations.
  • Assist with timesheet verification and escalate unresolved discrepancies to the Contract Manager when required.
  • Maintain accurate process, scheduling, and operational documentation.
  • Provide support to other contracts and operational activities during quieter periods as required.

Qualifications

  • College Diploma or University Degree in a related field, or equivalent experience.
  • Previous staffing or scheduling coordination experience.
  • One to three years of experience in customer service, administration, or a related environment.
  • Fluency in both English and French, written and spoken.
  • Strong ability to prepare, interpret, and manage schedules and respond effectively to frequent scheduling changes.
  • Excellent organizational, customer service, written, and verbal communication skills.
  • Strong attention to detail with the ability to gather, prioritize, and manage information accurately.
  • Ability to think proactively, critically, and independently while making sound decisions.
  • Proficiency with computerized information systems, Microsoft Office applications, internet-based tools, and electronic spreadsheets.
  • Ability to work effectively and independently with limited direction in a fully remote environment.
  • Previous healthcare, healthcare staffing, PSW, HR, psychology, or similar transferable experience is an asset.
  • Experience with healthcare credential or compliance management is an asset.
  • Experience with project management, scheduling, Applicant Tracking, or Customer Relationship Management systems is an asset.

Additional Requirements

  • Availability to work evening, overnight, and weekend shifts as required by the position.
  • The Health Services operation provides coverage 24 hours a day, 7 days a week, 365 days a year.
  • Full-time opportunities include evening coverage of approximately 4:00 p.m. to 12:00 a.m. and overnight coverage of approximately 12:00 a.m. to 6:00 a.m. or 8:00 a.m.
  • Part-time coverage is primarily focused on weekends and evenings, including approximately 8:00 a.m. to 4:00 p.m. on weekends and/or 4:00 p.m. to 12:00 a.m. evenings.
  • Ability to obtain and maintain PSPC Reliability Level 1 security clearance through Calian.
  • Occasional travel may be required.

Compensation

$50,000 starting salary for full-time positions.

Position Type

  • We have 4 available positions.
  • Three positions are full-time, including one evening and two overnight opportunities.
  • One position is part-time, primarily supporting evening and weekend coverage.
  • Positions are fully remote and may be performed from anywhere in Canada.
