Position Overview
We are looking for a Contracts & Operations Coordinator to support the effective delivery of Canadian Defence & Security programs by coordinating day-to-day operations across contracts, service units, and leadership.
Reporting to the Service Delivery Manager, this role serves as a central coordination hub, ensuring operational alignment, monitoring delivery performance, and supporting informed decision-making related to schedule, cost, and risk.
This position blends operational coordination with analytical insight and process improvement, contributing to enhanced delivery performance and overall business effectiveness.
Responsibilities
- Coordinate day-to-day operational activities across contracts and service units to ensure aligned and timely execution
- Collaborate with Contract Managers and leadership to manage priorities, dependencies, and delivery schedules
- Monitor contract milestones and identify potential risks, supporting escalation and mitigation planning as needed
- Track budgets, expenditures, and contract performance against approved plans
- Prepare operational reports, dashboards, and summaries to support decision-making
- Support forecasting activities and assist with financial and performance tracking
- Evaluate existing processes and identify opportunities for efficiency, consistency, and risk reduction
- Develop and maintain standard operating procedures, templates, and documentation
- Support continuous improvement initiatives to enhance coordination and reporting accuracy
- Act as a liaison between delivery teams and leadership to ensure accurate and timely information flow
- Maintain compliance with internal policies, contractual obligations, and regulatory requirements
- Coordinate travel planning and expense reconciliation activities
- Maintain accurate operational records to support audits, reviews, and governance requirements
Qualifications
- Bachelor’s degree preferred
- 2 to 3 years of experience in office management or a related administrative role
- Strong organizational and time management skills with high attention to detail
- Excellent written, analytical, and communication skills
- Proficiency in Microsoft Office and standard business applications
- Ability to build strong working relationships with internal stakeholders
- Ability to manage multiple competing priorities and work effectively under pressure
- Strong problem-solving skills with a proactive, self-starter mindset
- Team-oriented approach with a willingness to support others and collaborate effectively
Additional Requirements
- Eligibility to work in Canada
- Ability to obtain and maintain a Secret security clearance
- Ability to work in a remote environment and adapt to varying time zones as needed
- Comfort working with sensitive and confidential information
- Interest in supporting operational processes, reporting, and continuous improvement initiatives
Compensation
$60,000 to $75,000
