Position Overview
The proposal content management specialist plays an active role to ensure the quality and accuracy of electronic proposal records. The specialist also provides support for other parts of the organization related to proposal processes and procedures.
The proposal content management specialist is a key resource for the organization, reviewing and maintaining the accuracy of the proposal teams’ electronic documents ensuring proposal content is accessible to individuals pursuing sales opportunities.
Responsibilities
- Act as the librarian for the RFP content in response management software, reviewing submitted content for adherence to style guidelines and content management practices.
- Maintain the RFP Supporting Document Templates, ensuring they are up to date.
- Act as the primary support liaison between the proposal management software provider and the Calian team, re: support and configuration requests.
- Train new team members on proposal management software including onboarding and maintaining employee lists and permissions within the tool.
- Effectively communicate important changes to contributors and users through notifications and established workflows.
- Assist in managing reviews of content, reminding SME to review content following the established review schedule.
- Participate in quality improvement initiatives by assessing proposed guidelines, procedures and processes related to records management and electronic document filing, for efficiency and effectiveness and making recommendations to the content manager for improvement
- Perform other related duties, as assigned
Qualifications
- Pursuing a bachelor’s degree in marketing, business writing, business strategy, or other similar area
- Excellent project management skills with the ability to effectively coordinate multiple projects, deadlines, and priorities
- Excellent verbal and written communication skills
- Experience with Microsoft Office (Excel, Outlook, Teams, SharePoint)
- Desire to gain knowledge and practical experience in ethical AI usage
