JOB PURPOSE:
The Time & Attendance Coordinator plays a critical role in the verification and validation of employee work hours to ensure the accuracy and completeness for payroll processing. This position is responsible for reviewing, verifying, and reconciling timesheet data for both hourly and salaried employees within a non-unionized environment. The Time & Attendance Coordinator ensures that all recorded hours comply with company policies and provincial regulations where applicable. This role also involves collaborating with managers and supervisors to ensure that all time entries are accurate, properly approved, and uploaded in a timely manner for payroll processing. The Time & Attendance Coordinator is responsible for Timesheet uploads and vetting as well as ensuring accurate data is available as necessary for week end, month end, and year end. The Time & Attendance Coordinator is responsible for training with Supervisors on Payroll approval in UKG and with new employees for timesheet and UKG submissions.
JOB STRUCTURE & COMMUNICATIONS:
- Reports to: Operations Process Manager.
- Collaborates with: Human Resources, Finance & Accounting, and Operations.
- Communication:
- Serve as the primary contact for employee inquiries related to timesheet discrepancies or hour verification.
- Communicate with department managers to ensure timely and accurate approval of timesheet entries.
- Follow up with employees and supervisors to resolve any issues with timesheet data and ensure accurate reporting of worked hours.
ACCOUNTABILITIES:
Timesheet Verification & Approval:
• Review and validate timesheet entries for hourly and salaried employees to ensure accuracy and completeness before payroll processing.
• Ensure that all employee hours are accurately recorded and that timesheets are approved by department managers within the allotted time frame.
• Identify and resolve any discrepancies or errors in recorded hours by collaborating with employees and supervisors.
• Handle corrections for any missed or incorrect entries, ensuring that adjustments are made promptly and accurately.
Timesheet Upload & Data Management:
• Maintain and update Projects, MCS, Personnel, and Operations tables within the Timekeeping Program to ensure accurate tracking of employee hour and Shift Reports.
• Upload daily timesheet entries to Time Keeping Program for shop employees daily, and weekly entries for office staff into the timekeeping system.
• Perform daily audits of timesheet data, proactively identifying and resolving errors or discrepancies in collaboration with employees and supervisors.
• Prepare daily summary reports of timesheet entries and follow up on missing or incomplete timesheets.
UKG System Maintenance:
• Serve as the primary point of contact for maintaining and updating the UKG system, including any changes or updates to employee shifts and work schedules (e.g., 9/80 schedule).
• Ensure the accurate entry of shift data for both hourly and salaried employees in the UKG system.
• Collaborate with the Cambridge UKG team to address system issues and ensure the accuracy of timekeeping data.
KNOWLEDGE & EXPERIENCE:
• College Diploma in Business Administration, Human Resources, Accounting, or a related field (preferred).
• Minimum 2-3 years of experience in timekeeping or a similar administrative role with a focus on verifying employee hours and data accuracy.
• Experience in timesheet verification, payroll data auditing, or similar roles focused on accuracy and compliance.
• Strong attention to detail with the ability to identify and resolve discrepancies in time records.
• Proficient in using timekeeping systems, with experience in UKG a strong asset.
• Strong communication skills to collaborate effectively with employees, supervisors, and department managers.
• Ability to manage sensitive data with discretion and confidentiality.
• Proficient in using Excel for data management, creating reports, performing calculations, and auditing timesheet entries. Familiarity with formulas, pivot tables, and data analysis tools is highly preferred.

The hourly rate for this position in Ontario at the start of employment is expected to be between $48,000 and $68,000 per hour. The rate offered is based on market location and may vary further depending on individualized factors for job candidates, such as job-related knowledge, skills, experience, and other objective business considerations. Subject to those same considerations, the total compensation package for this position may also include other elements, such as a full range of medical, retirement, and/or other benefits.
