POSITION OVERVIEW
We are looking for a passionate and experienced Real Estate Manager to ensure the operational management of our portfolio of rental offices and participate in its strategic planning. This person will oversee the real estate data team and lease administration, manage the budgeting process and corporate plan preparation, and actively contribute to the development of the department, while building relationships with various stakeholders to help optimize the alignment of the real estate portfolio with BDC's strategic priorities and activities.
CHALLENGES TO BE MET
Real Estate Portfolio Management and Strategic Development:
Participate in the management, optimization and enhancement of a portfolio of rental offices with the Director, Real Estate Portfolio.
Participate in the needs assessment process and search for real estate opportunities to determine locations that are suitable for the operational needs of BDC's branch network; and structure rental terms to meet the company's objectives.
Oversee the negotiation of certain leases, renewals and relations with landlords and other stakeholders.
Participate in the preparation of real estate documents by reviewing the lease offer, lease and all other documents to protect BDC's interests and ensure the most favourable conditions for streamlined administration.
Resolving lease issues and impasses with landlords by proposing solutions, interpreting and enforcing legal obligations, as required, through written communications with landlords (or their representatives) or municipal authorities.
Assist in the development of real estate guidelines, in collaboration with the operations team and management team, and the implementation of plans to meet current and future requirements of the business centre network.
Propose and implement initiatives to improve and optimize the portfolio and our internal processes.
Management of the real estate data team:
Supervise and develop a team of analysts specialized in real estate data management.
Ensure the reliability, quality, and efficient use of data to support decision-making.
Produce analytical information, including the development of dashboards and reports necessary for decision-making to define real estate strategies with the objective of optimizing the real estate portfolio.
Play a key role in structuring real estate data and evolving systems to meet business needs, and act as a resource person by dialoguing with various internal and external stakeholders to guide and coach the team in real estate planning, analysis and forecasting.
Manage the development of real estate forecasting models by analyzing the occupancy data of our hybrid spaces collected using sensors, access data and seat reservation systems, in order to facilitate decision-making and increase our ability to optimize the surface area of our business centers.
Lease Administration Management:
Supervise the team in charge of rent payments and all tasks related to the administration of leases.
Ensure the accuracy and punctuality of payments and administrative follow-up.
Ensure the follow-up and coordination of the updating of payment schedules, rent adjustments.
Oversees the quality of portfolio administration services rendered by the external real property service provider through key performance indicators and ensures the ongoing development, functionality and integrity of the real property portfolio database.
Ensure compliance with legal and regulatory obligations regarding commercial leases.
Optimize processes and tools related to lease management.
Budgetary and financial management:
Lead, in collaboration with the Director, Real Estate Portfolio, the preparation of the business plan for rent projections and related business projects as well as the business plan for real estate services, ensuring consistency with BDC's business plan.
Develop, track and adjust the real estate team's budget according to strategic objectives.
Analyze deviations, propose corrective actions and produce reports for management.
Ensure International Financial Reporting Standards (IFRS) compliance of real property data by working closely with Finance to provide the required reports. Maintain the database of real estate contracts.
Ensure the financial follow-up of the department's construction projects and other purchases by managing the issuance of purchase orders, the processing of invoices received and the projection of expenses and investments.
Collaborate with internal teams (finance, operations) to optimize costs and investments.
WHAT WE ARE LOOKING FOR
Bachelor's degree in real estate management, business administration, law, finance, or a related field.
Minimum of 7 to 10 years of experience in property management, including managing multidisciplinary teams and budgets.
Varied experience combining national real estate transaction management, law, architecture, engineering, facilities management, communications and project management – an asset
Mastery of real estate data and analysis tools.
Experience in a corporate environment
Strong communication, negotiation and team management skills.
Strategic vision, mobilizing leadership and ability to work in a changing environment.
Great ability to work under pressure; Excellent organizational skills; Ability to prioritize, manage time well and meet tight deadlines.
Strong problem-solving, analytical, and decision-making skills.
Solid knowledge and proven ability to read, write and interpret complex contracts (including commercial leases) in French and English as well as development plans.
Knowledge of the risks and regulatory requirements related to the business unit.
Ability to collaborate effectively, share a lot of information and "coach" colleagues.
Ability to establish and maintain effective relationships with employees at all levels and with suppliers.
Strong written and oral communication skills in both official languages.
Excellent computer skills – Outlook/Word/Excel/PowerPoint.
Availability to travel occasionally for business.
