About the Role:

We are seeking a highly organized and detail-oriented Franchising Assistant to join our team. This entry-level position offers a hands-on introduction to the franchising process, from managing incoming leads and coordinating applications to assisting with scheduling meetings, webinars, and site development. You’ll be at the heart of our franchise communications, conducting outreach, preparing professional site packages, and maintaining accurate records in our CRM. You’ll also collaborate closely with our real estate teams, help organize legal documentation, and contribute to marketing and research initiatives. This is an exciting opportunity for a motivated, detail-oriented individual to gain valuable experience in the fast-paced world of franchise development while supporting projects that directly impact our expansion.

Key Responsibilities

Lead Management & Communication

  • Enter new franchise leads into the CRM system (Zoho) and conduct timely follow-ups through calls, emails, and text messages.
  • Make a high volume of outbound calls to people who have enquired (average 90+ on designated days) to initiate franchise process.

Webinar & Event Support

  • Attend recurring franchise webinars to track attendance and provide administrative support updating attendees’ information into the CRM.
  • Attend franchise shows on weekends if necessary.

Application & Meeting Coordination

  • Follow up on franchise applications and schedule introductory meetings for the Franchise team.
  • Generate Zoom reports and maintain accurate records of all introductory sessions.

Prospect & Real Estate

  • Assist in following up on site interests discussed during prospect meetings and provide additional information or next steps as required.
  • Assist in coordinating potential sites submitted by prospects with internal teams.

Marketing & Research Support

  • Prepare professional site packages and demographic reports to support franchise development.
  • Assist in distributing promotional site opportunities to the franchise network.

Special Projects

  • Support special initiatives and outreach campaigns as assigned (e.g., brand expansion projects or industry outreach).

Document Management

  • Organize and maintain legal documentation, including Franchise Disclosure Documents (FDDs), Transfer Approval Letters (TALs), and Franchise Agreements (FAs).

Internal Collaboration

  • Coordinate with the real estate and franchising teams to ensure alignment on site development and approvals.
  • Draft agendas and take notes for internal meetings related to franchise growth and development.

Reporting & System Maintenance

  • Input regular updates into the CRM based on franchise development activity and progress.
  • Update and distribute templates and communication for upcoming store openings across the franchise system.

Required Skills and Qualifications

  • Post-secondary education in business administration or related field
  • Strong administrative and organizational skills with a high attention to detail
  • Excellent written and verbal communication skills; confident on the phone and with follow-ups
  • Comfortable working in a fast-paced, high-volume environment
  • Proficient with technology; experience using Monday.com and Zoho CRM is a strong asset
  • Demonstrated ability to manage and prioritize multiple tasks with minimal supervision
