About the Role:
We are seeking a highly organized and detail-oriented Leasing & Franchising Assistant to join our growing team. This is an entry-level position, ideal for someone with a keen legal eye and/or strong administrative skills who is looking to build a career in commercial leasing and real estate operations. You’ll play a vital role in maintaining accurate lease records, coordinating with internal teams and external brokers, and ensuring smooth onboarding of new sites.
Key Responsibilities
Lease & Location Administration (via Monday.com & Sitewise):
- Add and maintain lease data for new and existing locations
- Track and update key lease dates, store numbers, deposits, and conditional milestones
- Manage lease document trackers and follow up with brokers to ensure timely delivery
Real Estate & Franchise Support:
- Assist with Tenant Improvement Allowance (TIA) and onboarding data tracking
- Maintain and organize location-specific data across multiple platforms
- Pull and distribute reports via CoStar for Real Estate team
Communication & Meeting Coordination:
- Monitor and route incoming lease-related emails
- Take minutes for weekly broker calls and franchise meetings
- Support coordination with landlords, brokers, and franchisees as needed
Platform Management:
- Maintain boards and workflows in Monday.com for active and pending lease activities
- Use Sitewise and other internal tools to track location progress
Required Skills and Qualifications
- Post-secondary education in business administration, legal studies, real estate, or related field
- Strong administrative and organizational skills with a high attention to detail
- Excellent written and verbal communication skills; confident on the phone and with follow-ups
- Comfortable working in a fast-paced, high-volume environment
- Proficient with technology; experience using Monday.com is a strong asset
- Demonstrated ability to manage and prioritize multiple tasks with minimal supervision
- Experience working in or with a large tenant or multi-location retailer is a major asset
- Knowledge of commercial leases, legal documents, or real estate processes is a plus
